Changing a Fundraising rule does not update records that already exist. If you change your donor club tiers, donors who already qualify for a different club stay in their current club until you tell Fundraising to check them again. If you start mapping donation products to funds, donations purchased before that mapping existed do not have gifts until you create them through Maintenance. The Maintenance page gives you both catch-up jobs.
Prerequisites
- You need Fundraising administrator access to open the Maintenance page.
Open Maintenance
- Go to Fundraising & Gifts › Setup › Maintenance.
Result
You see two rows, each with a description and a button: Reprocess Donor Club Assignments and Migrate Donation Product Orders to Gifts.
Reprocess Donor Club Assignments
Run this after you change your donor club tiers, so each donor’s club matches the rules currently saved.
- On the Reprocess Donor Club Assignments row, select Reprocess Now.
- Confirm Are you SURE you want to reprocess donor club assignments? This cannot be undone.
Result
A toast tells you the reassignment process has started and that all donors will take a few minutes to update. Fundraising recalculates every donor in your organization against the club rules currently saved, including donors whose club should not change.
Warning
You cannot undo this job, and the Maintenance page does not show progress after it starts. If you run it again before the first run finishes, every donor is queued for recalculation again. Wait a few minutes, then check a few donor records before you run it again.
Migrate Donation Product Orders to Gifts
Run this after you set up mappings between donation products and funds, so Rhythm can create gifts from orders placed before those mappings existed.
- On the Migrate Donation Product Orders to Gifts row, select Migrate Orders.
- Confirm Are you SURE you want to migrate all donation product orders now?
Result
A toast confirms the migration after your past orders have been queued for gift creation, not after every gift exists. Rhythm creates the gifts in the background afterward.
Tip
This job does not create duplicate gifts, even if you run it more than once. You can safely run it again if you are not sure it completed, or if you added new donation-product mappings since the last run.
Knowing When a Job Has Finished
Neither job shows progress on the Maintenance page. To confirm a donor club reprocess has finished, check a donor’s club on their record a few minutes after you start the job. To confirm a migration has produced gifts, wait a little while after you start the job, then search for gifts from the donation orders you expect. Gifts appear after fulfillment processes them, which happens after the toast confirms the migration.
