Before You Begin
Prerequisites
- You need administrator access to Fundraising Setup.
- This job affects every donor in your account, so run it after a configuration change rather than as a daily task.
Run the Recalculation
- Go to Fundraising & Gifts › Setup › Maintenance.
- Find the Reprocess Donor Club Assignments row.
- Select Reprocess Now.
- Confirm when the browser asks "Are you SURE you want to reprocess donor club assignments? This cannot be undone."
Result
Rhythm shows "Reassignment process initiated. It will take a few minutes for all donors to be updated." The button returns to normal right away, but the recalculation continues in the background. The message means the job has started, not that it has finished. The Console does not show a progress indicator or completion notice; each donor's totals and club update when the background job reaches that record.
Tip
Rhythm always skips one internal test record during this job, so that record will not change.
What Recalculating Changes
Recalculation updates every donor's giving totals, including amount given, gift count, last gift date, and largest gift. It also reassigns donor club membership using your account's current club rules. If you changed which giving totals qualify a donor for a club, this job applies the new rule to donors who were placed under the old one.
Warning
Giving figures that someone typed directly onto a donor, instead of calculating them from actual gifts, last only until the next recalculation runs. If manually entered giving figures disappeared or changed, a recalculation replaced them with the calculated values. That could be this job or a recalculation that ran automatically.
If It Fails
- "Unable to initiate reassignment process." The job did not start. Try again, and contact Support if it keeps failing.
- The button reads "Reprocessing..." and nothing else happens. This is expected. The button is disabled while your browser sends the request, but the recalculation runs in the background after the button returns to normal. Check the affected donors again after a few minutes.
- You can run this again if a previous run didn't seem to finish. Running it more than once queues every donor again. It does not create duplicates or conflicts, so it is safe to retry.
