The Donors overview helps you find a specific giver or narrow the list to a useful group, such as donors in a certain club, donors over a giving amount, or donors who requested anonymity. This article explains how to search for donors and read the donor counts at the top of the page.
Before You Begin
Prerequisites
- You need access to Donors in the Fundraising Console.
Search for a Donor
- Go to Fundraising & Gifts › Donors.
- Enter any combination of search criteria:
- Name: matches a donor's name. This field appears twice on the form, and typing in either box fills both because they share one value.
- Type narrows the results to Contact or Organization donors.
- Donor Club limits the results to one or more clubs. The list includes only active clubs, so you cannot find a donor by club after your organization deactivates that club.
- Date Of Last Gift:, Total Number Of Gifts:, Total Amount Of Gifts:, and Pledge Balance: each accept one number, a range like
600-700, or an open-ended range like900-or-1000. - Anonymous? finds donors flagged Yes or No.
- City:, State:, Country:, Job Title:, and Email Address: search the contact details copied to the donor.
- ID: finds a donor by its exact identifier.
- Select Search.
Tip
This search does not include a field for a donor's first-ever gift date, so you cannot filter donors directly by first-time giving in a calendar year. For that kind of report, run a Gifts query filtered by Gift Date instead.
Result
Results appear ten at a time and are sorted by donor name. Each result shows the donor's Name, Donor Club, Last Gift, and Total Giving. Select a column heading to sort by that column instead. Sorting by Donor Club or Total Giving may not match the order you expect on screen because Rhythm sorts by the saved value, not the name displayed on the page.
Tip
Rhythm remembers the last search you ran in this browser and fills in those criteria the next time you open Donors. Use Reset Search to clear the form, or select Save this Search after running a search to keep it for later.
Read the Donor Counts
At the top of the Donors page, two tiles show Individual Donors for donors who are contacts and Corporate Donors for donors who are organizations. Select either number to open a prepared query that lists those donors, so you can move from the headline count to the underlying list.
Warning
These figures come from your Rhythm account's statistics, which refresh periodically instead of instantly. If you just created a donor, the tiles may not show the new numbers right away.
Return to Search Results
If you open a donor from search and want to return to your results without searching again, select Return to Search or use the position indicator, such as "3 of 42", on the contact's page. This option appears only on contact pages, not organization pages, and only while your search results are still held in this browser tab.
If It Fails
- "Unable to run search." Your search criteria are kept. Adjust them and try again.
- A donor you know exists doesn't show up when filtering by club. Check whether the club is still marked active. Inactive clubs are left out of the Donor Club filter entirely, so you cannot find donors in those clubs that way. Search by name or another criterion instead.
- A number range doesn't seem to match. Ranges like
600-700accept only whole numbers. Decimals are not read.
