If your organization sold donation products through Commerce before you turned on automatic gift creation, those earlier orders did not become gifts. This one-time job reviews those past donation orders and creates gifts using the donation product-to-fund mapping in your Rhythm account when the job runs.
Before You Begin
Prerequisites
- You need administrator access to Fundraising Setup.
- Make sure the donation product mapping in your Rhythm account is set up the way you want gifts created. This job uses the mapping in place when it runs, not the mapping from when each order was placed.
- This job uses order records already in your Rhythm account. If a donation came in through imported data but the related order was never imported, there is no order for this job to convert, so it will not create a gift for that donation.
Run the Migration
- Go to Fundraising & Gifts › Setup › Maintenance.
- Find the Migrate Donation Product Orders to Gifts row.
- Select Migrate Orders.
- Confirm when the browser asks "Are you SURE you want to migrate all donation product orders now?"
Result
Rhythm shows "Migration completed successfully" after every past donation order has been queued for conversion. This means the orders are queued, not that every gift has already been created. Gift creation continues in the background and can take a while for a large Rhythm account.
Tip
You can safely run this job again later. Rhythm marks each queued order, so it will not create a duplicate gift for an order it has already converted.
What Gets Included
Once automatic gift creation is on, Rhythm turns any order with a donation product line into a gift as soon as Commerce fulfills the order. This is not limited to a special category of "donation orders." If an order was fulfilled before automatic gift creation was turned on, or while it was turned off, that order does not already have a gift. Use this migration to create gifts for those earlier orders now.
The migration re-queues every past order in your Rhythm account that contains a donation product line, no matter what status the order has now, including cancelled or unpaid. When Rhythm processes each queued order, the order still has to meet the usual rules for creating a gift.
In practice, a donation paid for with store credit converts the same way as any other payment method. Rhythm creates the gift, marks the store credit used, and leaves the order complete.
Running this job can also help fill in missing names in gifts search results. If a gifts search showed a blank donor or order name on some rows, rerun that search after the migration finishes to see whether the names are now filled in.
Warning
If donation conversion is turned off in your Fundraising settings, Rhythm skips the orders queued by this job instead of turning them into gifts. Turn on conversion first if you expect gifts to be created.
If It Fails
- "Unable to migrate orders." The request to start the migration failed before it could queue any orders. Try again.
- The success message appeared, but you don't see new gifts yet. The message confirms that the orders were queued for conversion, not that gift creation has finished. Give it time and check back, especially if your Rhythm account has many past orders.
- A 504 or timeout error appears when you start the migration. This has been reported when the request runs for about 30 seconds or longer. It does not necessarily mean the migration failed, because the orders can still be queued and converted into gifts behind the scenes even though the browser shows an error. Before assuming anything went wrong, check whether the gifts you expected now exist (see Find and View Gifts).
- Gifts are still missing after checking. Run the migration again. It is safe to run more than once because Rhythm marks each order it has already converted, so a rerun does not create duplicate gifts. If a large number of past orders kept the request from finishing the first time, giving the request more time to run can help, but that is not a guarantee. An order can also be missing its gift because of the order's status, the donation conversion setting, or the current donation-product-to-fund mapping, not only because of a timeout (see What Gets Included above).
- Gifts are still missing after rerunning, and your Rhythm account has an unusually large number of past donation orders. Very large accounts can hit the same request time limit on more than one attempt. Contact Rhythm Support. Completing a migration this size may need help from Rhythm Support.
- A donation paid with account credit from a refunded event registration has no gift. This migration uses Commerce order records, and that situation's order and finance trail do not match what the job looks for. Running the migration again will not create the missing gift. Contact Rhythm Support for this case instead.
