Whether you’re answering a donor’s question, reconciling a gift batch, or tracing a payment, start here. You can search by date, type, amount, fund, campaign, anonymity, number, or ID, then open the full gift record.
Before You Begin
Prerequisites
- You need access to Gifts in the Fundraising Console.
Search for a Gift
- Go to Fundraising & Gifts › Gifts.
- Enter any combination of search criteria: Date:, Type: (Cash, In Kind, Matching, Planned, Pledge Payment, Pledge Payment Reversal, or Stock), Amount:, Fund:, Campaign:, Anonymous?, Number:, or ID:.
- Select Search.
Result
The results show ten gifts at a time, with each gift’s Date, Donor, Amount, and Type. Gifts appear by date, newest first. Select Date to open the gift, or select Donor to open the donor’s page.
Tip
The top of the page shows the total gift amount and gift count for the last twelve months. Select either figure to open a prepared query for the gifts behind that number. Rhythm sets the twelve-month window when you first load the page for that browsing session, so a browser tab left open across a date change keeps the older window until you reload.
Warning
The Campaign: filter may show only the first page of campaigns when your Rhythm account has many campaigns, so the dropdown might not include the one you need. If you do not see the campaign, search by another criterion instead, such as date or fund.
Warning
The Date: criterion searches the gift’s own Date field, which staff can change by hand after the gift is recorded. If you need to find gifts by when they were entered into Rhythm, rather than by the date on the gift, searching or querying by Date alone may not give you that answer.
Open a Gift's Full Record
- From search results, select the gift’s Date.
Result
The Gift 360 page opens with the donor at a glance, plus the amount, fund, and date. It also shows alerts for anonymity, a linked recurring gift, or a matching gift. Six tabs hold the rest of the gift information:
- Details — fund, campaign, appeal, amount, premium value and tax-deductible amount when set, master gift, order, giving process, tribute, and notes.
- Installments — the payment schedule, when the gift’s order has one.
- Financials — the invoices and payments behind the gift’s order.
- Splits — other funds this gift’s amount was divided across, if any.
- Soft Credits — other donors credited for part of this gift.
- Linked Gifts — every gift matching this one, plus every gift from the same recurring gift.
Tip
Each tab’s label shows a count once the tab has rows, for example Financials (2). A tab with no rows shows only the label.
Find All of a Donor's Gifts
The fastest way to see every gift a donor has made is from the donor’s page, not the general gift search. See Review a Donor's Giving on a Contact or Organization Page for the Gifts tab, which lists the donor’s gifts and any soft credits they’ve received.
When two contact records are merged, the surviving contact’s page shows gifts made under both contacts, so the donor’s giving history stays complete after the merge.
If It Fails
- "Unable to run search." Your criteria stay filled in. Adjust them and search again. If you saw this after selecting Search with no criteria, the result was likely too large for the search to return. Run a Gifts query instead — see Design and Run a Query — because a query with no criteria can succeed where the overview search cannot, and pull every gift in your account.
- "Unable to load gift." The gift may not exist, or it may not have loaded correctly. Return to your search results and try opening it again.
- A gift's donor details are blank and it won't open. This can happen when a search or query result still points to a contact who has since been merged into another contact, instead of the contact that survived the merge. Open the gift from the surviving contact’s page instead — see "Find All of a Donor's Gifts" above — because that is more likely to work than an older saved search or query result.
- A gift query shows blank Donor columns for some rows. Columns such as Donor - Name, Donor (Gift), or Donor - Contact can be empty on older gift records made before a contact merge, even though the gift itself, its amount, and its fund are correct. This is a display gap on records from before the merge, not a sign that the gift is missing or broken.
- You know a donation was paid, but no matching gift shows up here. Check Finance & Billing next. An invoice line item query there will not return a payment made without an order behind it, so run one and look for donation-related lines with no order attached. That can mean the money reached Finance & Billing before a matching gift existed in Fundraising. See Ask and Export Questions in the Query Center.
- The Soft Credits tab's Amount column looks wrong or missing. When staff enter a soft credit by hand, they record a percentage rather than a dollar amount, so this column may not show a figure for that row.
