Gifts sometimes need corrections after you enter them, such as the wrong fund, a mistyped amount, or a donor anonymity request. This article explains how to edit those details, delete a gift you entered by mistake, or cancel the order behind a gift that came through checkout.
Before You Begin
Prerequisites
- You need access to Gifts in the Fundraising Console.
- The options you see depend on how the gift was created. You can cancel a gift with a checkout order, and you can delete a gift with no order.
Edit a Gift
- Open the gift's Gift 360 page — for example, from a search on Fundraising & Gifts › Gifts.
- Select Edit Gift.
- Change any field — donor, amount, fund, campaign, appeal, type, splits, soft credits, tribute, thank-you gift, giving process, or notes.
- Select Save Changes.
Result
Rhythm saves your changes and returns you to the Gift 360 page.
Warning
Every field on this form is editable, even when the gift came from a paid order. That includes the amount and fund. Changes you make here do not update the order, invoice, or payment behind the gift, so a heavily edited gift can stop matching what was actually paid. Be careful when you edit a gift with a payment behind it. If the difference matters for your records, consider adding a note that explains the change instead of changing the amount.
Tip
If a gift already has financial records behind it and you need to correct it rather than remove it, edit the gift and set its Amount: to zero instead of trying to delete or cancel it. Setting the gift to zero keeps the financial trail intact while removing it from donor and fund totals.
Tip
This form does not warn you about unsaved changes when you leave. If you close the tab, use the breadcrumb, or go back, Rhythm discards your edits without asking. Save before you leave.
Delete a Gift
You can delete only a gift that has no order behind it, which is usually a gift entered by hand. After a gift is associated with financial records, such as an order, invoice, or payment, you can no longer delete it this way. To correct it, set the amount to zero as described above.
- Open the gift's Gift 360 page.
- Select Delete Gift.
- Confirm "Are you sure you want to delete this gift? This operation cannot be undone."
Result
Rhythm shows "Gift deleted successfully." and returns you to the Gifts list. The deletion is permanent.
Warning
If the deleted gift was the master gift for a matching gift, such as a company match, the matching gift is not deleted with it. It remains linked to a gift that no longer exists. Review any matching gifts before you delete the gift they are linked to.
Cancel a Gift's Order
For a gift that came from a paid order, cancel the order instead of deleting the gift directly.
- Open the gift's Gift 360 page.
- Select Cancel Gift Order.
- Follow the cancellation dialog to confirm.
Result
Commerce cancels the order. Rhythm removes the gift shortly afterward as part of that cancellation, although you may still see it briefly if you return to the gift's page right away.
Tip
If the order's invoice has already been written off and the order balance is already zero, use Close Order on the order itself instead of Cancel Gift Order to finalize it.
If It Fails
- "Unable to save gift." Correct the field described in the message, then save again. Rhythm keeps your other entries.
- "Unable to delete gift." The gift may have something depending on it. Read the message for details, then try again.
- Delete Gift doesn't appear. This button appears only for a gift with no order. If the gift came from checkout, use Cancel Gift Order instead.
- Canceling an order that combined a donation with another item, such as a membership, leaves an unexpected negative gift amount. Do not correct the negative amount by hand. Review the order and gift history together, and contact Support with the order and gift numbers if the negative amount does not match the donation portion alone.
