Fundraising includes eight Query Center starting points, one for each Fundraising record type. Use this article to choose the right starting point and add a giver’s membership details when you need them.
Prerequisites
- You need access to the Query Center.
Start a Fundraising Report
- Go to Fundraising & Gifts › Queries.
- Choose one of the eight Fundraising starting points.
- Add the fields you want, filter the report as needed, and run it.
For help building, running, saving, or scheduling a query, see Design and Run a Query. This article focuses on the Fundraising starting points.
Choosing the Right Starting Point
| Report on | Also brings in |
|---|---|
| Gifts | The gift’s donor, fund, campaign, order, and related records |
| Gifts, split by fund and soft credit | One row for each fund allocation on a gift, plus one row for each soft credit on the gift |
| Donors | The donor’s contact or organization, membership, and donor club |
| Pledges | The pledge’s donor, fund, campaign, and related records |
| Recurring gifts | The recurring gift’s donor, fund, campaign, and related records |
| Appeals | The appeal’s campaign |
| Campaigns | Only the campaign |
| Funds | Only the fund |
Tip
To report on the funds a gift was split across, or on soft credits for gifts, use the split starting point instead of the plain gifts starting point. The split version returns one row per fund allocation and one row per soft credit, rather than one row per gift.
Warning
In the split-by-fund-and-soft-credit report, a soft-credit row has no donor of its own, so the donor column is blank. Because a soft credit is not a gift someone made themselves, the row always shows as fully allocated to the gift’s primary fund.
The donors starting point shows donor records with their contact or organization record, membership, and donor club. Donor totals, such as total given and largest gift, come from the running totals on the donor record. The report does not recalculate those numbers, and the totals are lifetime figures. There is no built-in donor field for total giving within only one year or date range. To report on giving in a specific period, build a Gifts report and filter it by gift date. If you need a per-donor sum for that period, export the results, because the query still returns one row per gift rather than one summarized row per donor.
Because the donors starting point reports on donor records, a contact or member who has never made a donation does not have a donor record and will not appear in a Fundraising donor report. Use a CRM or Membership query instead when you need a list that includes people with no giving history.
Warning
A Gifts report cannot be limited to only each donor's single most recent gift. Adding the donor's last-gift-date and last-gift-amount fields shows summary values, but the report still returns every gift transaction for that donor, not one row per donor. If you need one row representing each donor's latest gift, run separate queries by giving period and combine the exports outside Rhythm.
First Donation Date is not available as a queryable or output field, so you cannot build a donor report directly for people whose first-ever gift fell within a given year. If you need that information, query gifts by Gift Date instead and work out first-time donors from the results.
To report on payments received against pledges, start from the Fundraising Pledges or Gifts starting point rather than a Commerce or order-based query. Each pledge payment is recorded as its own gift, so Fundraising gift data is the more reliable source for pledge payment reporting.
Adding Membership Details to a Fundraising Report
The gift, gift-with-splits, pledge, recurring gift, and donor query types can include the giver’s Membership record. Use these fields when you want to report on giving alongside a person’s membership status or other membership details.
- Start a report from one of the gift, pledge, recurring gift, or donor starting points.
- Add a Membership field, such as membership status, to the report.
Result
The Membership field populates for individual givers. For example, if you add the giver’s membership status to a gifts report, the report returns that status alongside the gift fields.
Warning
Membership fields only populate for individual givers because the connection to Membership goes through the giver’s contact. When the giver on a row is an organization instead of a person, the membership fields are blank.
