Saving a query keeps its query type, criteria, output fields, and sort under a name. Use saved queries for questions you will run again, and file shared work where colleagues can find it. Only saved queries can be scheduled for email delivery or linked to a mailing list.
Save queries you expect to reuse, such as a monthly renewals list, an organization roster, or a list you use to prepare imports. You can leave one-time questions unsaved.
Prerequisites
- Open the query in the query designer or on Query Results. See Design and Run a Query.
- To open a saved query later, your role must allow you to run queries of its type.
- Create the folder before you file a query into it. You create folders in the Query Center, not in the save dialog (see Create and Rename Folders).
Save a New Query
- In the query designer, choose
Save. From Query Results, chooseOptions›Save Query. - In the
Save Querydialog, underSelect a target folder:, chooseMy Organization's Queries,My Private Queries, or a folder inside either one. TheFolder:value on the right confirms your choice. - In
Query Name:, enter a clear name. A new query starts with the query type's name, and a query saved from Query Results starts withCopy of. - If it helps, add a
Description:. - Choose
Save Changes.
Result
The message Query saved successfully appears, and the dialog closes. Rhythm lists the query where you filed it, keeps you in the designer or results with the saved version, and now shows Save As... in the designer.
Choose the place deliberately:
| Place | Choose it when |
|---|---|
My Organization's Queries | Other staff or Rhythm Support need to find, run, review, or build on the query |
My Private Queries | Only you need the query. It does not appear in colleagues' lists |
Names do not have to be unique. Rhythm allows two queries to share a name, even in the same folder, and lists both, so choose a name that explains the query's purpose.
If the dialog shows We can't continue because of the following errors in this form: with You haven't entered a valid value for Name, enter a name. If it shows You haven't entered a valid value for File Cabinet, you have not chosen a place; Folder: reads Please select a folder, so choose one in the tree. If it shows Unable to save query, Rhythm refused the save, but the dialog keeps your entries so you can fix them and try again.
For a brand-new query, save it once before you rely on Description:. Rhythm records and shows that description only after the first save.
Create and Rename Folders
- In the Query Center, choose
My Organization's QueriesorMy Private Queries. - Open the folder where the new folder should sit, or stay at the top level.
- Choose
Create Folder. TheCreate/Edit Query Folderdialog showsParent Folder:as the folder you opened, orRoot Folderif you stayed at the top level. - Enter a
Name:and chooseSave Changes.
Result
Folder <name> saved successfully appears, and Rhythm lists the folder. Folders appear before queries, and each group is sorted by name.
To rename a folder, open its row menu and choose Rename. Reload the page before you create another folder. Until you reload, Create Folder opens with the renamed folder's name already filled in and renames that folder again instead of creating a new one.
Folders keep a long list manageable because the Query Center has no search across saved queries.
Find and Run a Saved Query
In the Query Center, choose a view on the left:
| View | Shows |
|---|---|
Recently Run Queries | Up to 25 saved queries you ran recently from this Query Center |
Created by Me | Currently shows every query in My Organization's Queries, not only queries you created, and excludes your private queries |
My Organization's Queries | Your organization’s shared queries, by folder |
My Private Queries | Your own queries, by folder |
Scheduled Queries | Delivery schedules; see Query Delivery Schedules |
Integrated Queries | Queries linked to a mailing list |
Each list shows Name, Record Count, Last Run, and Created, with 25 rows per page. These lists do not show a query's Description:; open Rename/Move on the query to read or change it. Select a column heading to sort the list, or select a query's name to run it. You can also open a query's row menu and choose Run; Design or Designs to open it in the designer; Schedule; Integrate; Rename/Move; or Delete. The Query Center opens on the last view you used in this browser.
Change a Saved Query
- Open the query's row menu and choose
Design. - Change the criteria, fields, or sort.
- Choose
Save, check the name, place, and description, and chooseSave Changes.
Result
Your changes replace the saved query. Any delivery schedule or mailing-list link that uses it picks up the change at its next run, and Rhythm does not warn you when you save.
If someone else saved the query, choosing Save shows Unable to Save Query: This query was created by another user, and you cannot overwrite it. Try using 'Save As...' to save a copy of this query. Choose Save As... to save your version as a new query that you own.
A saved query stays owned by the person who originally created it. Rhythm does not offer a way to transfer that ownership yourself, even if the original creator has left your organization. If you need to keep editing a query someone else owns, and keeping the same saved-query identifier matters, contact Rhythm Support. For example, an integration may reference that identifier. Support can reassign a saved query to a new owner while keeping its existing identifier, so integrations that reference it do not need to change.
Save As Creates a Different Query
Save As... creates a new saved query with a new identifier. Schedules and mailing-list links stay attached to the original, so they keep using the original definition. If a schedule or link must use your version, set it up again on the copy. If an integration references the original query by its identifier, switching it to the copy needs the same update because the copy's identifier is different.
Rhythm does not check whether someone else changed the query while you had it open, so the last save wins. Agree with colleagues on who maintains a shared query.
If an integration built on a saved query hangs or behaves unexpectedly, duplicate the query with Save As... and try the integration against the duplicate. That test can help you tell whether the problem is tied to that specific saved query record or is more general.
Rename or Move a Saved Query
- Open the query's row menu and choose
Rename/Move. TheEdit Query Informationdialog opens. - Change
Query Name:orDescription:, or choose another folder or the other top-level place inSelect a target folder:. - Choose
Save Changes.
The query's criteria and fields stay the same. If you move a query between My Organization's Queries and My Private Queries, it can appear in both lists until you reload the page.
Repair a Query Whose Criteria No Longer Work
A saved query can stop working when a field it uses is removed, such as a deleted custom field. If the removed field was a column, it disappears from the results. If the removed field was part of the criteria, the query fails when you run it.
- Open the query's row menu and choose
Design. - Choose
Edit Criteria.... A condition whose field no longer exists shows an empty field choice. You may also need to reselect or clear any other blank or invalid field on the design, not only in the criteria, before the query will run again. - Choose a replacement field for that condition, or delete the condition with its trash icon. Complete or delete any other incomplete row, because a condition left with no values can stop the whole save from completing.
- Choose
Save Changes, check the preview, and chooseRun. - Choose
Saveto keep the repaired query, orSave As...if someone else saved it.
If the field is missing from the list entirely, see A Custom Field Does Not Appear Where I Expect.
If a custom field the query uses stops behaving correctly and the design does not explain why, open that custom field's own setup, choose Edit, and save it again without changes. In some cases, that has let a saved query that was stuck running resume normally.
A query name that includes a # character has, in some cases, been linked to errors when the query runs. If a query with # in its name fails, try renaming it without that character and saving again.
Occasionally, the criteria shown in the designer look right, or even blank, while the query keeps returning results that match an older filter. In that case, the visible design and the version Rhythm runs may have drifted apart. If a saved query keeps behaving as though an old, no-longer-visible criterion is still in effect, rebuild the query as a new one with the same fields and criteria instead of continuing to edit the old one. A duplicated or copied query can fail to run even when the original still works, while a freshly built version of the same logic does not have the problem. If rebuilding is not practical, try Save As... on the affected query, followed by a normal run, before you assume the criteria themselves are wrong.
Delete a Saved Query
- Open the query's row menu and choose
Delete. - At
Are you sure you want to delete this query? This action cannot be undone., chooseOK.
Result
Saved query "<name>" deleted successfully appears, and the query is removed from the lists.
Deleting a saved query is permanent, and it also:
- Is refused while a delivery schedule uses it, even if the schedule is switched off. You see
Unable to delete querywith a message that records depend on it. Delete the schedule inScheduled Queriesfirst, then delete the query. - Deletes its mailing-list links. Any mailing list the query fed stops updating.
- Leaves your recent-runs list tidy. The deleted query no longer appears in
Recently Run Queries.
Delete a Folder
Move the folder's queries and subfolders elsewhere first, using Rename/Move. Then open the folder's row menu, choose Delete, and confirm Are you sure you want to remove folder? with Yes. When the delete succeeds, Folder deleted successfully appears.
Rhythm can refuse to delete a folder that still holds saved queries and shows Unable to delete folder. If a folder is deleted while queries are still filed in it, those queries no longer appear in any folder view. You can still find them under Recently Run Queries if you ran them recently, or under Created by Me for queries in My Organization's Queries, and then move them with Rename/Move.
