Use the Recurring Gifts overview to review recurring giving, find a specific recurring gift, and see the gifts it has created.
Prerequisites
- You need access to Recurring Gifts in the Fundraising Console.
Open the Recurring Gifts Overview
- Go to Fundraising & Gifts › Recurring Gifts.
Result
At the top, you see three figures: Active Recurring Gifts, # of Active Recurring Gifts, and # of Suspended Recurring Gifts. Below those figures, you see a search form and a Recently Viewed Recurring Gifts panel.
Tip
Active Recurring Gifts adds the per-charge amount for every active recurring gift, regardless of how often each gift is charged. A monthly gift of $10 and an annual gift of $10 each add $10 to this total, so this figure is not a monthly or yearly giving rate. Recurring gifts in Payment Error do not have their own figure or search filter, so use other search criteria to find them.
Search for a Recurring Gift
- Enter any of the criteria below, or leave the form empty to see all recurring gifts.
- Select Search.
| Criterion | Finds recurring gifts by |
|---|---|
| Date | The date the recurring gift started, within a range |
| Amount | The amount charged each time, as an exact amount or a range |
| Fund | One or more funds |
| Campaign | One or more campaigns |
| Amount Fulfilled | Not used for recurring gifts; leave this blank |
| Last Processing Date | The most recent charge date, within a range |
| Next Gift Date | The next due date, within a range |
| Number | The recurring gift's number |
| ID | The recurring gift's identifier |
Warning
The results table's Status column usually appears blank instead of showing the recurring gift's current status. To confirm the status, open the recurring gift or use the donor's own record, as described below.
Find All of One Donor's Recurring Gifts
The fastest way to see all recurring gifts for one donor is from the donor's own record.
- Open the donor's contact or organization record.
- Select the Recurring Gifts tab.
Result
The tab lists every recurring gift for that donor, along with its amount, next gift date, total given so far, and status.
Review a Recurring Gift
- From a search result, the Recently Viewed panel, or a donor's Recurring Gifts tab, select the recurring gift's date to open it.
Result
The recurring gift page shows the donor, amount, fund, and start date. It also shows four figures: Amount Given, # Gifts, Next Scheduled Gift Date, and Status. Below those figures, you see tabs for Details, Installments when a payment schedule exists, Financials, and Linked Gifts.
Use the Linked Gifts tab to check exactly what was given and when, because it lists every gift created by this recurring gift. It shows each linked gift's own details, including the gift, amount, fund, and gift date. On each linked gift, a notice near the top links back to the recurring gift it belongs to, so you can move between the gift and the recurring gift in either direction.
The Installments tab includes a View Order action next to each installment payment. Select it to open the order behind that payment.
Tip
Amount Given and # Gifts are recalculated when the recurring gift's billing schedule changes, not when you open the page, so they can be slightly behind very recent activity.
Warning
If an older recurring gift installment was already stuck in Processing before this area was fixed, that existing installment is not automatically repaired by the fix. Test with a newly created recurring gift instead of expecting a previously stuck one to recover on its own; contact Support about the stuck record if you still need it resolved.
If processing a gift from Recurring Gifts returns an error, process it from Fundraising & Gifts › Gifts instead and select the option to make it a recurring gift there. This gives you another way to create the recurring gift while the Recurring Gifts processing path is unavailable.
Report on Recurring Gifts
If you need to review more than one recurring gift at a time, use the Fundraising query types in the Query Center to report on recurring gifts together with their donor, fund, and order. See Build a Fundraising Report.
Why Can't I Open the Recurring Gifts Page?
You need access to Recurring Gifts to open this page. If you select Recurring Gifts from the menu and see an access-denied message instead, ask your Fundraising administrator to grant you access.
