Rhythm gives you two ways to review a speaker’s history. From an event, you can see what that person is presenting there. From the contact record, you can see every event where they have spoken and review their speakers bureau profile. This article covers both views and explains how to create a bureau profile when someone does not have one yet.
Before You Begin
Prerequisites
- You need Console access to Meetings & Shows.
- You only need general Console access to view a speaker’s details or a contact’s speaking history.
See the Sessions a Speaker Presents at an Event
- Go to Meetings & Shows › Events ›
<event name>› Speakers. - Search for and open the speaker.
Result
The speaker’s page shows the name, contact details, organization, photo, and biography used for this event. The Sessions tab lists each session at this event where they are a listed speaker, along with their role on each session.
Tip
When the speaker is featured for this event, a blue notice appears at the top of the page.
Warning
When the speaker record has no linked contact, the page can stay on “Loading speaker info...” without showing an error. This happens when the underlying contact was deleted or was never set. To fix it, give the speaker a valid contact, or remove the speaker record and add it again correctly.
The Speaker Options menu on this page includes Edit this Speaker, which is different from the regular Edit Speaker button. Avoid Edit this Speaker because it opens a separate account-wide profile form and usually does not load useful information for a speaker added directly to this event. Use Edit Speaker for normal edits.
Tip
If you open a speaker from a KPI query instead of from this page, Rhythm takes you to the speaker's edit form rather than a read-only view. There is no separate view-only speaker page in that context.
See Every Event a Contact Has Spoken At
Use this view when you need a person’s full speaking history, not just what they are presenting at one event.
- Go to Meetings & Shows › Speakers.
- Search for and open the contact.
- Select the Speaking Engagements tab.
Result
The tab lists every event where this contact is recorded as a speaker, whether they were featured, and the speaking fee recorded for that event when one was set.
Tip
The fee column shows a value only when the fee was recorded outside the Console speaker form, such as by an integration or by the speaker. It is often blank.
Warning
When a contact has an unusually large number of speaking engagements, the tab may show only the first page without indicating that more engagements exist.
See and Create a Speaker's Bureau Profile
A speaker profile is different from an event speaker record. The speaker profile is the person’s speakers bureau entry and is kept once across every event, not separately for each event.
- Go to Meetings & Shows › Speakers.
- Search for and open the contact.
- Select the Speaker Profile tab.
Result
If the contact already has a profile, you’ll see their preferred name, photo and photo approval status, speaking topics, speakers bureau, agency contact, website, honorarium, dietary requirements, and notes. If the profile is marked inactive, a red notice says so.
Warning
Honorarium and dietary requirements can include sensitive personal information. Any staff member who opens the contact’s record can see these fields, with no additional restriction.
If the contact does not have a profile yet, the tab shows a short sentence instead of the profile details.
- On the Speaker Profile tab, select Click here to create one.
- Fill in the profile form. The contact is already selected for you.
- Save the profile.
Result
The new profile is saved, and the contact’s Speaker Profile tab shows it the next time you open the tab.
If It Fails
- The speaker's page never finishes loading. The speaker record usually does not have a valid linked contact. Check the speaker’s contact on the event’s speaker form, or remove and re-add the speaker.
- "Unable to load speaker" or "Unable to load speaker profile." Reload the page and try again. If the message keeps appearing, confirm that the record you are trying to open still exists.
- A topic name shows as a raw code instead of a readable name. This happens briefly while topic names load, or permanently if the topic was deleted. It does not affect the speaker’s other details.
