You can add an abstract to an event in two ways. Use the guided submission form when you are helping someone submit through the same process presenters use. Create the abstract directly when you need to enter the details without going through that process. This article covers both methods, plus how to edit, delete, and resend a submission confirmation email.
When to Use Each Method
Use Submit an Abstract when the submission should follow the same rules and steps a presenter would follow. For example, use it when you are entering a proposal someone emailed to you, or when you are helping someone who is not comfortable using the Portal. Rhythm runs the event’s actual submission process, including any presenter limit, so the submission can still be refused if it does not meet that process’s rules.
Use Manually Create an Abstract when you need to record or correct the abstract’s details directly. This method skips the guided form, so no submission process runs, no submission limit is checked, and no confirmation email is sent. You can also set the abstract’s status to any value on this form, including an approved status, but that does not send the decision notification email. If you need to send that email, see Change an Abstract's Status.
Prerequisites
- You need permission to create abstracts for either method, or permission to edit abstracts to change an existing abstract.
- The event must have at least one abstract type before you can use either method.
- You need permission to delete abstracts before you can delete an abstract.
Submit an Abstract on Someone's Behalf
- Go to Meetings & Shows › Events › (the event) › Abstracts, and select Submit an Abstract.
- Choose the contact who is submitting the abstract, then select Start Abstract.
- Complete the guided submission form the same way the person would in the Portal. The contact you chose is only the submitter, so you still need to choose the presenter within the form.
- Submit the form.
Result
Rhythm runs the event’s submission process the same way it does for a Portal submission. After the process accepts the abstract, Rhythm adds it to the event.
Tip
Because this method runs the real submission process, a presenter or submission limit configured for the event can still refuse the submission, just as it would in the Portal.
Manually Create an Abstract
- Go to Meetings & Shows › Events › (the event) › Abstracts, and select Manually Create an Abstract.
- Choose the abstract's Main Presenter and Submitter, then fill in its Number, Type, Title, Session Track, Status, and Body.
- If the abstract has co-authors, turn on Does this abstract have co-authors? and add each co-author with their speaker type.
- Select Save Changes.
Tip
You can change only the co-author heading text. The co-author field label itself is fixed and cannot be renamed.
Result
Rhythm saves the abstract directly with the status you chose, then takes you to the abstract’s page.
Warning
Setting Status directly on this form does not send a decision email, even if you choose an approved or declined status. If the submitter needs to be notified, use Change an Abstract's Status instead. That action records the same decision and can send the configured email.
Editing an Existing Abstract
- Open the abstract’s own page.
- Select Edit.
- Change the fields you need to, then select Save Changes.
Result
Rhythm saves your changes to the abstract.
Tip
The console Edit page is a backend form, not the event’s configured submission form. If you remove a field from the submission form, that field does not necessarily disappear from the console edit page.
Deleting an Abstract
- Open the abstract’s own page.
- Select Delete, then confirm.
Result
Rhythm removes the abstract, no matter what status it is in.
Warning
If a session has already been created from this abstract, Rhythm can block the deletion while that session still exists. If you need to remove both, delete or disconnect the session first.
Resending the Submission Confirmation Email
Open the abstract’s own page, open Abstract Options, and select Resend Confirmation Email. Rhythm sends the submitter their original confirmation email again.
Tip
This action sends an email only when the event’s submission process has a confirmation email template configured and the submitter has an email address on file. If either one is missing, no email goes out, even though the action reports success. Resending also ignores whether the association has since turned off the confirmation email for this abstract’s submission process, so you can still send a confirmation the association no longer sends automatically. If your confirmation email template includes several separate merge fields, it does not automatically hide a field that has nothing to merge in; the field’s surrounding text can still show up looking incomplete. If that happens, leave the optional content out of the email template and let the submitter get that information from a report or query instead.
