Rhythm has two kinds of speaker records, and you can search either one. An event speaker is the person presenting at one specific event, with the name, photo, and biography used for that event. A speaker profile is a separate speakers bureau record, where you keep a directory of people you can invite to speak at future events.

Before You Begin

Prerequisites

  • You need Console access to Meetings & Shows. You do not need any additional permission to search event speakers or the speakers bureau.
  • To search an event's speakers, open that event first.

Search an Event's Speakers

Use this search when you need to find someone presenting at one specific event.

  1. Go to Meetings & Shows › Events › <event name> › Speakers.
  2. Check the Speakers tile at the top of the page. It shows how many speakers are attached to this event.
  3. Enter your search criteria on the left: Name:, City:, State:, Country:, Job Title:, or Email Address:.
  4. Select Search.

Result

The results table shows each matching speaker's Name, Organization, and Title. Select a name to open that speaker's record for this event.

Your search only looks at the event you have open. You cannot search speakers from multiple events from this page. To look across every event where a person has spoken, see Review a Speaker's Details and Speaking History.

A speaker's Topics are on their speaker profile, while the event name and event dates come from the event speaker or session for a specific event. Because those details live in different places, there is not a single existing speaker search or query that combines a speaker's profile topics with event-level details across every event at once.

Tip

This page also includes Type: and ID: filters, but they do not narrow results as reliably as the other fields. If either filter returns results you do not expect, or returns no results when you expect matches, clear it and search again by name, city, state, country, job title, or email address.

Search the Speakers Bureau

Use this search when you need to find someone in your speakers directory, outside of one specific event.

  1. Go to Meetings & Shows › Speakers.
  2. Check the Speakers (active) tile at the top of the page. It shows how many active speaker profiles your Rhythm account has.
  3. Enter your search criteria on the left, using the same fields as an event's speaker search.
  4. Select Search.

Result

The results table shows each matching profile's Name, Topics, and Status (Active or Inactive). Select a name to open that person's contact record on the Speaker Profile tab.

Tip

A speaker profile does not have its own separate page. A search result opens the person's contact record, where the Speaker Profile tab shows their bureau details and the Speaking Engagements tab shows their speaking history. See Review a Speaker's Details and Speaking History for what each tab includes.

As with event speaker search, the Type: filter here, which searches speaker topics, and the ID: filter can behave unreliably. Use the other fields when you can.

When a session offers a speaker from the directory instead of the event's own speakers, the picker shows each speaker's organization name beside their name. This follows the same speaker name and organization pattern you see elsewhere when adding someone to an event.

Turn a Count Into a List

The event speaker count and active speaker profile count do more than show a number. Each count opens a ready-made query.

  1. Select the number on the Speakers tile (event page) or the Speakers (active) tile (bureau page).

Result

Rhythm opens the query tool with a query already built. For an event, the query includes every speaker at that event. For the bureau, it includes every profile marked active, meaning speaker records created at the global level in your speakers directory. From there, you can adjust the criteria, choose columns, or export the list. From a result row, using the pop-out opens that speaker's edit page directly.

See Design and Run a Query for how Events uses the shared query tool after it opens.

Tip

The event speaker search and its underlying query use event-linked speaker records, so they do not include a speaker profile's Topics field. To query Speaker Topics, use the Speaker Profiles query under Sessions in the global Meetings & Shows query area instead.

Warning

Both counts come from a reporting copy of your data, which can briefly lag behind what you just saved. A speaker added seconds ago may not appear in the tile yet, or in the list the tile opens.

If It Fails

  • "Unable to run search." Clear any Type: or ID: criteria you entered, then search again. Rhythm keeps your other entered criteria.
  • A count keeps loading and never shows a number. This can happen when Rhythm cannot retrieve the underlying statistic. Reload the page. If the count still does not load, try opening the list through a query instead of the tile.
  • A red banner says results are partial. Your search matched more speakers or profiles than the page can display at once. Narrow your criteria, such as by adding a city, state, or job title, to see the full result set.
