A coupon does not discount an order on its own. The buyer must enter a coupon code that points to the coupon before Rhythm applies the discount. Use this article to create, view, and edit those codes from the coupon’s page in the Console.
Prerequisites
- Permission to manage coupons for your account, or for the specific event.
- The coupon itself must already exist, whether it is an event-specific coupon or an account-wide one.
Where to Manage Codes
Coupons in Events come in two kinds, and each kind has its own page:
- An event coupon, opened from Meetings & Shows › Events › (the event) › Setup › Coupons › (coupon name).
- An account-wide coupon, opened from Meetings & Shows › Setup › Coupons › (coupon name).
You manage codes the same way from either page. Open the coupon, then select its Codes tab.
Create a Code
- Open the coupon from either location above, then select its Codes tab.
- Select the button to create a code.
- Enter the code’s details, then save. The ID you enter is the actual code a registrant types at checkout, not just an internal label.
Result
Rhythm adds the code to the coupon. Anyone who enters this code at checkout can claim the coupon it points to, as long as the coupon’s discount rules allow it.
To limit who can use a code, assign a registration category to the relevant registration type, then use that category in the code’s eligibility criteria. Combine that setup with a multi-use setting when you need to control reuse.
If you manage a straightforward set of codes by hand, keep the setup simple. Use one coupon, then add each pre-determined code you need under that coupon’s Codes tab instead of relying on separate coupons tied to auto-generated, purchase-based codes. If you are moving away from that kind of auto-generation setup, deactivate the older coupons once your manually managed codes are in place.
Tip
If a code gives one organization a one-time free-registration entitlement, set it to single-use so it cannot be redeemed more than once for that organization. Eligibility criteria, such as limiting a code to a specific registrant type or registration package, can help prevent some unintended combinations. They do not stop someone who qualifies for more than one coupon from applying more than one at checkout.
View or Edit a Code
Open the coupon’s Codes tab, then select the code you want to review or change. Update the details you need, then save.
Tip
Rhythm enforces a code’s usage limits and validity dates through Orders & Inventory, the same way it enforces any other coupon code. Set them the same way you would for a coupon code anywhere else in Rhythm.
A standard discount code works with group registration when the coupon behind it allows multiple uses. A single-use code is not a fit for a group order with more than one registrant.
Tip
A code’s usage limit is one fixed number of total uses. It does not change by booth size or any other factor. If your rule gives each exhibitor a different number of complimentary attendee registrations based on booth space, a simple total-use limit on one code may not fit, especially when some exhibitors register their group in one order and others distribute the code for individual use.
See How a Coupon Has Performed
Each coupon page shows two figures above its tabs: Discounts Given, the total amount the coupon has taken off orders so far, and Number of Usages, how many times it has been used. Select the coupon’s Usages tab to see the individual orders behind those totals.
Tip
These figures cover the coupon as a whole, across every code that points to it. If one coupon has several codes, such as a different code for each sponsor you want to track separately, this page does not break out usage by individual code. The totals combine usage from every code.
A multi-use coupon is consumed per completed order, not per registrant or line item. In group registration, one order can include several registrants and still count as only one use. If you are trying to represent a limited allotment of free registrations, such as an allotment tied to booth size, a multi-use coupon’s usage count alone will not reliably cap that allotment once group orders are allowed.
Why a Code Might Not Unlock a Coupon-Gated Registration Type
If a registration type on your event requires a coupon code before it becomes available, only a code created under an Events coupon unlocks it. A code created under a different kind of coupon, such as one for a merchandise discount, does not unlock a coupon-gated registration type, even when the registrant enters it correctly at checkout. If a registrant says their code does not unlock the registration type you expected, confirm that the code was created from an Events coupon’s own page, not from a coupon that belongs to a different part of Rhythm.
When you investigate a reported coupon problem, test it in both the Console and the Portal instead of only one place. Coupon behavior can look different between the two, so confirming a fix or failure in one place does not guarantee the same result in the other.
