Once booths have been added to an event’s show floors, you can review them in one list, update most details, and delete booths created by mistake or no longer needed.
Prerequisites
- Permission to manage the event’s exhibitors and booths.
See All of an Event's Booths
Go to Meetings & Shows › Events › (the event) › Setup › Exhibitors › Booths. Rhythm shows every booth for the event in booth-number order, including each booth’s name, type, status, and exhibiting organization when one is assigned. Use the filter box above the list to search by name or identifier. It does not filter by status or exhibitor.
Change a Booth's Details
- From the booths list, select Edit for the booth you want to change.
- Update its Type, Floor, Fee, Status, or description as needed.
- Save your changes.
Result
Rhythm saves the booth with the updated details. If you change the booth number, Rhythm renames the booth, but it keeps the same booth record behind the scenes.
Warning
When you change a booth’s status, Rhythm shows or hides the holding organization and hold expiration fields, or the exhibitor field, based on the status you choose. It does not clear any values that were already in those fields. For example, if you switch a reserved booth back to available, the former exhibitor and organization stay attached in the background even though they no longer appear on the form.
If you switch a booth to reserved and choose an exhibitor, Rhythm assigns the booth to that exhibitor immediately, with no warning. This happens even when the booth was already reserved for or held by someone else, because your new choice overwrites the old one.
Changing a booth's Type or Fee does not recalculate an order or invoice that already exists for it. The exhibitor's existing order keeps its original amount after you save a different type or fee on the booth. If the exhibitor needs to pay a different amount for the new size, create a new order instead of expecting this change to update the old one.
Delete a Booth
- From the booths list, select Delete for the booth you want to remove, then confirm.
Result
Rhythm deletes the booth. You can delete a booth in any current status, so reserved and on-hold booths can be deleted the same way as available booths.
Warning
Deleting a booth does not cancel or refund any exhibitor registration or order tied to it. If the booth is already reserved and paid for, coordinate with whoever manages that exhibitor’s registration before you delete it. Otherwise, removing the booth can leave a paid reservation pointing at nothing.
The reverse is also true: Rhythm is meant to refuse deleting a show floor, booth type, fee, organization, or exhibitor while a booth still names it. If you cannot delete one of those records, check whether a booth still references it.
Follow a Booth Link to Its Exhibitor
When you follow a link to a specific booth, such as from a search result or another record that references it, Rhythm takes you to that booth’s exhibitor page if the booth is reserved for an exhibitor. If the booth is on hold for an organization instead of reserved for a specific exhibitor, the link takes you to the event’s booths list.
