An event’s exhibitor tools let you browse the organizations exhibiting at the event and manage your own organization’s exhibitor information.
Prerequisites
- You must be signed in to the Portal to use the Exhibitor Service Center. You do not need to sign in to view the public exhibitor listing.
- To check or update your organization’s exhibitor status, your Portal contact must be linked to that organization. The same link is required to register your organization as an exhibitor.
- If the event limits exhibitor pages to contacts with specific roles, you need one of those roles to use the Exhibitor Service Center.
Browse the Event's Exhibitors
- Open EXHIBITORS › Exhibitor Listing on the event’s Portal.
- Browse the exhibitors shown, including their logos, descriptions, and booths.
Result
You can see every exhibitor the event has published without signing in. Exhibitors appear alphabetically by name, regardless of uppercase or lowercase letters.
The Exhibitor Listing and other event microsite pages that show exhibitors are available only on that event’s microsite. You cannot reach exhibitor registration or the exhibitor listing from the main member portal outside that event’s pages.
If a specific exhibitor’s logo does not display correctly, the exhibitor record is usually fine. A broken or stale image link is more likely than a problem with the exhibitor or listing.
Check Your Organization's Exhibitor Status
- Open EXHIBITORS › Exhibitor Service Center.
- Review your organization’s exhibitor status, logo, description, booth types, booths, and any add-ons it has purchased.
- From here, you can buy booths, update your exhibitor information, or manage your booth staff.
Result
You can see whether your organization is exhibiting for this event and what it has bought.
The Exhibitor Service Center shows your booth types, booths, add-ons, registrations, and other exhibitor information. However, after you submit the exhibitor registration form, you cannot open or view that submitted form. Membership applications and event registrations work differently because they do let you view the form you originally submitted.
Tip
Rhythm does not support scanning attendee badge QR codes to capture leads and upload that information into Rhythm.
Update Your Logo and Description
- From the Exhibitor Service Center, choose Update Exhibitor Information.
- Upload a new logo if you want to change it.
- Edit the description, staying within the character limit shown for this event.
- Save your changes.
Result
Your organization’s logo and description are updated, and the new versions appear wherever the event shows your exhibitor listing.
For the best appearance in the exhibitor listing, keep the logo’s displayed dimensions to around 180 pixels or less. Prepare the source image on a standard 2:1 canvas, such as 800x400 or 600x300 pixels, with the logo centered and some padding around it before you scale it down. A transparent PNG works best. A JPG can also work if its background and padding are consistent. Logos with inconsistent canvas sizes or padding can still look uneven next to other exhibitors’ logos, even after the display styling is applied.
Tip
If choosing a logo file does not finish uploading, upload the image to the Assets library in Portals & Microsites instead. Then copy its shareable link and paste that link into the logo field as a URL rather than choosing a file.
After registration, the bio and logo editor on the Exhibitor Service Center’s Update Exhibitor Information page is the only place you can change this information. It does not support adding custom fields beyond the logo and description.
Why You Can Only See Some Organizations' Information
The public Exhibitor Listing shows every published exhibitor for the event, and anyone can browse it. The Exhibitor Service Center only shows and lets you change information for the organization linked to your Portal contact, so you cannot use it to check or update another organization’s exhibitor status.
If the Exhibitor Pages Won't Open for You
- "You are not linked to an organization." You see this message when your Portal contact is not linked to an organization. That link must be in place before you can use the Exhibitor Service Center.
- "You are not authorized to perform exhibitor-related operations." Some events limit exhibitor pages to contacts with specific roles at the exhibiting organization. If you see this message on the Exhibitor Service Center, your organization’s contact does not currently have one of the roles this event requires. Contact your organization’s administrator or the event organizer.
- Registered as an exhibitor, but the Exhibitor Service Center does not show it. If you used "Add a contact not listed" during exhibitor registration and entered an email address that already belongs to another contact record, the new contact may not link correctly. The registration can then appear in search results without becoming an accessible exhibitor record. Use an email address that is not already on file, or ask your organization’s administrator to check for a duplicate contact.
- Something looks wrong, but you're not sure if it's a sign-in problem. A few different issues can look similar from the outside: not being signed in, signing in successfully but failing during the contact lookup step that follows, and signing in successfully but still missing exhibitor information on the Update Exhibitor Information page. Confirm which one you are seeing before you contact Support, since each issue needs a different fix.
