You can keep your company’s or institution’s record current in the Portal. You can update your organization’s profile and, if your association uses divisions, chapters, or similar sub-organizations, manage those records too.
Before You Begin
Prerequisites
- You are signed in to the Portal, and your contact belongs to an organization.
- Your contact role must allow you to update your organization’s profile. If it does not, you see a message explaining that you do not have permission, along with a way to go back. Ask another administrator at your organization, or the association, for access.
Tip
If your association marks one of your roles as administrative, you can use everything on this page and its related pages, even when that role does not have a specific permission set.
Update Your Organization's Profile
- Go to My Profile › My Organization.
- Review and edit the fields on the form. Your association chooses which fields appear, and the fields can vary by organization type.
- Choose the form's save control.
Result
The page confirms that your organization was saved.
Why You Might Not Be Able to Change the Name
If your association restricts organization name changes, the name field is read-only on this form. If the name needs to be corrected and you cannot change it yourself, ask the association’s staff.
Your organization’s type is selected when the organization is first created, so you cannot change it later through this form. If your organization’s type needs to change, ask the association’s staff to update it for you.
Manage Your Organization's Sub-Organizations
If your association tracks divisions, chapters, or similar parts as sub-organizations and has turned on this feature in the Portal, you can view and manage them alongside your organization’s people. Create a sub-organization when a distinct entity needs to stay connected to your organization but also needs its own separate membership and members.
- Go to My Profile › My Organization's Contacts.
- If your organization has sub-organizations, they appear in their own section above the list of people, with each sub-organization’s name and location.
Select a sub-organization’s name to open it and manage its people and, if it has any, its own sub-organizations. Select your organization’s name in the header to move back up one level.
Create a Sub-Organization
If your role allows you to create a sub-organization, a create button appears above the sub-organization list. The button uses your association’s own term, such as “Create New Division.”
- From the list you want to add underneath, select the create button.
- Fill in the form your association has set up for adding a sub-organization.
- Save.
Result
The new sub-organization is created underneath the one you were viewing, and the list refreshes to include it.
Edit a Sub-Organization
Select Edit on the sub-organization’s row, make your changes in the form, and save. You return to the list, and the list refreshes.
Remove a Sub-Organization
Removing a Sub-Organization Deletes It
Removing a person from your contact list keeps their record and only detaches them from the list. Removing a sub-organization here deletes the organization record itself. There is no undo, so make sure you want to permanently delete it and not simply take it off your list.
- Select Remove on the sub-organization's row.
- Confirm when asked.
Result
The sub-organization is deleted, and the list refreshes without it.
If the removal does not go through, you see a message that it could not be removed. This can happen when the sub-organization still has people or records attached to it.
