The event schedule is the Portal page that shows everything happening at the event, including sessions, functions, course offerings, and other activities. It organizes those items by day and time so you can browse the program, narrow the list, and open a session page for details, speakers, and posted handouts.
Before You Begin
Prerequisites
- The event’s website designer must add the schedule to a Portal page. If your event is portal-integrated, you can usually open the schedule from the event’s navigation banner.
- You do not need to sign in to browse the schedule or read session details.
Find the Schedule
- Open the event’s Portal site.
- If the event is portal-integrated, select Schedule in the event’s navigation banner. Otherwise, open the page your association set up for the schedule; the exact location depends on how your association built its Portal site.
Result
The schedule shows a card for each event day, with sessions, functions, courses, and other activities listed under the time slots when they happen. Each entry shows its name, speakers, and room or location. When a session has no seats left, it shows a sold out badge. Times appear in the event’s time zone, and a note above the list names that time zone.
Tip
An item with no start date on file does not appear on the schedule. Sessions need both a date and a time before they appear in the day-by-day list, so a partly set up session may seem to be missing until staff finish scheduling it. Courses also stay off the schedule when they are not set to appear on the Portal, and course offerings appear only when your association has installed the Training & Courses feature on the event's site and turned on course registration in the event's registration settings.
Filter the Schedule
Above the day-by-day list, a search card helps you narrow the schedule. Filters appear after the schedule loads, and only when there is something for that filter to narrow:
- Name: searches item names and descriptions.
- Type: shows the session and function types used by visible items. If the event has courses or other events, those options appear too.
- Track: appears only when the event has at least one session track.
- Speaker: appears only when the event has at least one speaker.
- Location: appears only when items are set in more than one place.
Type a search term, or choose one or more values in any other filter. The list narrows right away without reloading the page.
Tip
If a filter's list of options looks cut off, especially on Type or Location when the names are long, try shortening the names your association gives those types or locations. This helps in many cases, though it does not fully fix every long value.
Your association's website designer can also set the schedule to open already filtered. A link to the schedule can include the event or session type, or the location, in its address. The designer can set those same filters on the schedule block itself, so the page opens pre-filtered every time. The search card's own name, header, and speaker-type labels are part of the schedule component, and your association cannot turn them off through the page designer.
Open a Session
- Select a session’s name on the schedule.
Result
The session page opens with the session’s name and code, when it has one, along with its dates and time in the event’s time zone, location, and full description. If the session is sold out, a notice tells you. If the session has an extra fee, a notice tells you that too. Below the description, each speaker appears as a card with their photo, name, and speaker type. Select a speaker to open their page. Use View Event Schedule to return to the schedule.
The session's name on the schedule and on its own page comes directly from the session record staff maintain in the Console. There is no separate Portal-only label, so staff need to change the session name on the session itself. If staff embedded a video in the session's description, including through iframe markup, it plays both in the Console and on the Portal page.
If staff have posted handouts for the session, a Documents & Handouts section appears with files you can download. This section appears only after a handouts folder exists for the session, so you will not see it if staff have not added any documents yet.
The schedule does not offer a way to bookmark or save a session to a personal list you can return to later. If you want to keep track of sessions across a large program, you need to note them yourself outside the Portal.
Why a Session Might Not Appear
Warning
Staff can hide a session from the schedule, or close it to a schedule entirely, when it is not ready to show yet or is not meant for the general audience. A hidden session does not appear in the day-by-day list or in any filters. If someone tells you about a session you cannot find, check with the association. The session may still be hidden, or it may not have a start date recorded yet.
If a session page will not load, or shows a message that it is unavailable, return to the schedule and open it from there instead of using an old link. Old links can stop working if staff rebuild the program and the session’s identifier changes.
If the schedule page itself will not load, contact the association. While the issue is being looked into, some associations post a PDF copy of the schedule on the same page as a temporary stand-in, so check the page for one before assuming no schedule information is available.
Warning
A session that has already happened stays on the schedule; Rhythm does not remove or grey out past sessions automatically. If you're using the schedule on a live display, such as digital signage that should only show what's happening now or next, plan on staff hiding finished sessions by hand rather than relying on the schedule to update itself.
