If your association allows self-service cancellation, you can cancel your event registration from the Portal. Before you confirm, the Portal shows the refund you will receive. This article explains how to find your registration, review the refund, and complete the cancellation.
Before You Begin
Prerequisites
- You must be signed in to the Portal as the registered person, or you must be acting for them.
- The event cancellation policy, or the package-specific policy for your registration, must still allow Portal cancellation. If the cancellation deadline has passed, or the association has turned off self-service cancellation, the Cancel Registration button does not appear, and the Portal does not explain why.
- A package-specific cancellation policy stays tied to the package you originally purchased, even if your association later makes that package inactive or changes fees on its current packages. Your cancellation fee follows the package you registered under, not the packages that are active today.
- In some cases, an association may still be rolling out Portal cancellation even when the event and packages look configured for it. If Cancel Registration is missing and you believe it should appear, contact the association; they may still be enabling it on their side.
Open Your Registration
- From the event's Portal page, select Click here to view your registration. This link appears after you register. You can also use the direct link your association gave you.
Result
Your registration opens with the event, registration type, package, and status, along with any guests, sessions, function tickets, courses, and add-ons attached to it.
Preview and Confirm the Cancellation
- Select Cancel Registration. This button appears only when your registration can currently be cancelled.
- Review the refund panel. For each order item that can still be cancelled, the panel shows any cancellation fee and the amount you will get back. It also shows the total refund.
- Select Cancel Registration again to confirm, or select Cancel to return without cancelling.
This Cannot Be Undone
After you confirm, you cannot reverse the cancellation from the Portal. If you change your mind afterward, contact the association about registering again.
Result
Your registration's order is cancelled and sent for a refund. If your registration was part of an order that already had a payment, the Portal shows your refund instead of saying there was nothing to refund. Your registration becomes cancelled after the cancellation finishes processing, which may take a little while. You may need to reload the page to see the updated status.
If a cancellation fee applies and the association does not waive it, Rhythm usually handles the cancellation behind the scenes in a few connected steps. Rhythm creates an invoice for the cancellation fee, generates a credit for your cancelled registration, and applies that credit to the fee invoice. Any amount left over after the fee is refunded to your original payment method.
Warning
The Portal's self-service cancellation is all-or-nothing: it cancels and refunds everything on the order together, and you cannot choose which items on the order get cancelled or refunded. If your registration was purchased with something that should not be refunded the same way, such as a membership or a donation, check with the association before you cancel.
What Happens to Your Guests
If your order covers more than one registration, such as guests you registered with yourself, cancelling refunds and cancels every registration on that order at the same time. You cannot cancel only one registration from an order that covers several registrations from this panel.
The same rule applies to a group registration: Portal cancellation cancels the whole group order instead of removing one member. If your association needs to cancel individual members separately, they generally do that from the Console instead of through this panel. If you are cancelling on behalf of a group, ask the association to handle a single member's cancellation there.
In rare cases, a group cancellation's cancellation fee or credit amounts may not add up the way you expect. If a refund or fee for a group registration looks wrong, contact the association so they can check it in the Console.
If Cancellation Fails
If something prevents the cancellation from completing, such as the deadline passing at the exact moment you confirm, you will see a message that the cancellation could not be completed. Your registration stays unchanged, and you can contact the association for help.
If your registration includes a guest and the guest's fee is refunded but the guest still shows as registered afterward, that guest registration may not have been fully cancelled. Contact the association so they can confirm the guest's status before you try to register that person again.
A cancellation can also fail if the association has not finished setting up how the event's cancellation fee is charged. Only the association can fix that on their side.
