An event’s attendee directory helps you find other people attending the event, such as a colleague, speaker, or someone from a specific company. Your association decides which fields you can search and which details appear, so each directory reflects that setup.
Prerequisites
- You must be signed in to the Portal.
- If the directory is limited to event attendees, you need an active registration for the event to use it.
Search the Directory
- Open the attendee directory. For an event published in your association’s main Portal, select Attendee Directory from the event’s navigation banner if your association turned it on. You can also open it from Attendee Directory on your registration, or from a link your association provides.
- Enter your search terms in the available fields, such as a name or organization.
- Select Search to see results. The directory does not run a blank search or show attendees when the page first opens, so you need to search before results appear.
- Select a result to open that attendee’s entry and view the details your association chose to show.
Result
You see matching attendees, and you can open any result to view that person’s directory entry.
Tip
Some directories appear as a plain list instead of a search form. If you open an attendee directory page with no search or filter fields, your association configured that page as a list; it does not mean something is broken.
If you search for a picklist value, such as an option from a dropdown field your association added, an exact-looking value can occasionally return people whose stored answer contains those letters instead of matching the value exactly. If your results look broader than expected, try a more specific term or check with your association.
Why an Attendee Might Not Show Up
By default, the directory lists only active registrants, so draft, cancelled, and pending-approval registrations do not appear. If your association customized the directory’s search criteria, that default may no longer apply, and some setups could still show a cancelled registrant’s entry. If you cannot find someone you expected to see, they may not have completed their registration yet, or your association’s directory setup may exclude them.
What You Can See on an Entry
An entry shows only the fields your association configured the directory to display. Depending on that setup, you might see an organization, job title, or other registrant details. If your association has not set a custom entry layout, the directory uses a default layout that includes the attendee’s email address, but not their organization name. Organization is not part of the default entry, so your association must add it deliberately if they want it shown. When the directory appears as a list, an administrator controls which fields appear in that list through a custom search results template, choosing details like name, organization, and job title in place of email.
Attendee photos come from each person’s contact record, so their consistency across the directory depends on the original images people uploaded. A photo saved through certain social sign-in options is not something your association can adjust, and forcing every photo into the same shape can stretch an image that was not sized for it. If photos in the directory look inconsistent, the source images are the most likely cause, not the directory itself.
If the Directory Isn't Available to You
Some directories are limited to people who are attending the event. If the directory has this restriction and you do not have an active registration for the event, you see a message that the directory is restricted to event attendees instead of the search form. Complete your registration first; see Register for an Event in the Portal.
If you are not sure why a directory looks unavailable, your association can also configure a directory so only staff can access it. If your registration status does not explain what you see, check whether the page itself was set up to be staff-only before assuming something else is wrong.
Tip
If you are comparing an event’s attendee directory with a member directory elsewhere in the Portal, they are different tools. The attendee directory is limited to one event’s registrants, while a member directory uses your association’s broader contact and organization records. See Search a Directory for that broader kind of directory.
