Sometimes a reviewer cannot submit a review themselves. They may have emailed their scores, or they may not be able to use the Portal. You may also need to correct an existing review. This article explains how to view a full review, submit one for a reviewer, edit an existing review, and delete one.
When to Use This
Submit a review on a reviewer's behalf when their review needs to be recorded and they cannot or will not enter it themselves. Edit an existing review when you need to correct scores, notes, custom fields, or a recommendation. Delete a review only when it should not exist at all; deleting it returns the reviewer’s assignment to not-yet-reviewed and recalculates the submission’s totals without that review.
Prerequisites
- You need permission to view reviews to open one.
- You need permission to create reviews to submit one on a reviewer's behalf.
- You need permission to edit reviews to change one.
View a Review in Full
- Open the space, go to Reviews, select a count, then select the score in a submitted row. You can also open a review from a reviewer's, team's, bucket's, or round's review list.
Result
The review opens with the reviewer's summary, the submission being reviewed, the submission date, the score for each applicable criterion, and any custom fields. On the Details tab, you can also see the round, bucket, team, whether the round was blind, and the reviewer's notes.
Submit a Review on a Reviewer's Behalf
- Open the submission, go to its Reviews tab, and select Click here to administratively submit a review.
- Choose a reviewer from Select a Reviewer, then select Start Review.
- Complete the review form exactly as the reviewer would, then submit it.
Result
The review is saved as though the reviewer submitted it themselves. The review does not show that staff entered it; only the record's own last-modified details show who saved it.
The reviewers you can choose depend on how the submission's bucket is assigned. If the bucket uses manual assignment with a specific team, you can choose anyone on that team. Otherwise, you can choose only people who are still expected to review and have not submitted yet. If no one is available, Rhythm tells you no reviewers are available, which can mean everyone has already reviewed or no team is assigned to the bucket yet.
Warning
Submitting for a reviewer must follow the same rules as the reviewer's own submission. The round must be open and before its deadline, and the reviewer must be on the team assigned to review that bucket. If the chosen reviewer already has a review for this submission and round, the form opens that review and saving becomes an edit instead of a new submission. Edits skip those same rules because they are not re-checked the same way.
Edit a Review
- Open the review, then select Edit Review.
- Change the scores, recommendation, notes, or custom fields as needed.
- Save.
Result
The review updates, and the submission's totals and averages recalculate to include the change. You are returned to the review.
Warning
A staff edit is not limited the same way as a reviewer's own change. You can edit a review after its round has closed or its deadline has passed, and Rhythm does not re-check at save time that a score stays within its criterion's maximum or that a required criterion is still filled in. The limits shown in the form are what keep an edit within bounds, so check your entries before saving. If someone else saves a change to the same review while you are editing it, your save is refused. Reload the page and re-enter your changes.
Delete a Review
- Open the review, then select Delete Review.
- Confirm the deletion. This cannot be undone.
Result
The review is removed. The reviewer's assignment goes back to not-yet-reviewed, and the submission's scores and averages are recalculated without that review.
Staff can delete a review in a closed round or after its deadline. That limit applies only when a reviewer deletes their own review in the Portal, not when staff work in the Console.
