Submissions keeps a few running counts so you can quickly check your spaces and submissions without running a report.
Prerequisites
- Access to the Submissions Console.
- To see counts for a particular space, you need access to that space's submissions.
Check How Many Portal-Form Spaces Are Open or Closed
- Go to Submissions › Overview (or Submissions › Spaces, depending on how your account is set up).
- Look for the Open Portal Form Spaces and Closed Portal Form Spaces tiles.
Result
Each tile shows one number: how many Portal-form spaces in your account currently have that status.
These tiles count only Portal-form spaces. Membership application, certification application, accreditation report, abstract, and award application spaces are not included in either number. A Portal-form space in draft also is not counted as open or closed, so it does not appear in either tile.
If the number does not match a recent change, such as closing a space, give it a little time. Rhythm keeps and reuses these counts instead of recalculating them every time the page loads, so they can be up to a day old. If you need the current number right away, use the small refresh icon beside the tile to have Rhythm recalculate it.
Check How a Space's Submissions Are Progressing
- Open the space and go to its submissions.
- Look for the tiles showing submissions in progress, approved, declined, and the total.
Result
Each tile shows one number for that space: how many submissions currently match that status, or how many submissions the space holds in total.
Here, in progress means submissions with a submitted status. Draft submissions and submissions marked as alternates are not counted as in progress. The total counts every submission in the space, regardless of status, including drafts and withdrawn submissions.
Unlike the space-count tiles above, a space's submission tiles do not include a refresh option. They show whatever Rhythm last calculated, which can be up to a day old.
If a Tile Shows Nothing to Count
When nothing matches a count, the tile does not show zero. For example, this happens in a brand-new account with no Portal-form spaces yet, or in a space with no declined submissions. Rhythm’s count returns nothing when no records match, so the tile keeps showing its loading indicator instead of a number. A tile that stays in its loading state is not necessarily stale or broken; it may simply mean there is nothing to count yet.
