Submissions includes three ready-made report types in the Query Center: Reviews, Spaces, and Submissions. Each one lists a different kind of record with related details, so you can answer common questions without building a report from scratch.
Prerequisites
- You need access to the Submissions Query Center.
- Your role must allow you to run the report type you want. If you do not have run access for a type, it does not appear in the type picker. Downloading and scheduling require their own permissions in addition to run access; see Permissions below.
The Three Report Types
| Type | What it lists | Joined in by default |
|---|---|---|
| Reviews | Reviews tied to submissions | The reviewer's name, score, recommendation, and the submission being reviewed |
| Spaces | Spaces in your Rhythm account | Name, type, and status |
| Submissions | Individual submissions | The submitting contact, their membership, their organization, and the submission type |
Run a Report
- Go to Submissions › Queries.
- Choose New Query, then choose a category — Reviews, Spaces, or Submissions — and the type within it.
- Set your criteria, output fields, and sort. See Design and Run a Query for help with the query designer, which works the same way in Submissions as it does in every application.
- Choose Run.
Result
The results table shows one row for each record. It uses the report type's default columns unless you change them.
Filter or Show Submitter Membership
The Submissions report type can show the submitting contact's own membership status or type as a column or filter. That membership information appears alongside the contact, organization, and submission-type details already included in the report. For example, you can list submissions from members whose membership has lapsed without creating a separate report and matching the lists by hand. You can also add contact custom fields and membership custom fields to a Submissions report, so you are not limited to the built-in columns.
Two limits apply. The report only shows a membership tied directly to the submitting contact, so an organization's own membership does not appear when the submission belongs to an organization instead of a person. The report also shows one membership per contact, so it is not built to show more than one.
Where a Space Fits In
When you open Queries from inside a space, a Submissions report is limited to that space's records. When you open it globally, the report covers every space. See Choose Which Space a Report Covers for how Rhythm decides that scope and how to switch between them. A Spaces report always lists every space in your Rhythm account, no matter where you open it from.
If a space's results include more records than you expect, check whether that space has more than one submission type set up. A Submissions report scoped to one space returns records from every type the space accepts, not just the one you had in mind. That means unexpected results can point to the space setup rather than the query criteria.
Tip
If you are reporting on abstract reviews specifically, use the Abstracts - Reviews query, which is available both globally and within an event. Use it instead of an older abstract reviews query you may have used before. An earlier version of that query could fail to load results for some data, and certain fields — such as the abstract body, summary, or overall recommendation — could be blank. The dedicated Abstracts - Reviews query replaced it.
Download or Schedule the Results
- On the results, choose Options.
- Choose a download format, or choose Schedule Delivery to have the report emailed on a recurring basis.
See Query Delivery Schedules for scheduled delivery. Submissions uses the same delivery schedule process as every application's Query Center.
Permissions
Running, downloading, and scheduling are separate permissions for each report type. For example, your role might let you run Reviews reports but not download them, or run Submissions reports but not schedule their delivery. If you can see a report type in the picker but cannot download or schedule it, you need a separate permission for that option in addition to the permission that lets you run the report. Ask an administrator for that permission specifically.
Rhythm's built-in read-only role includes download and schedule permission for every Submissions report type, even though the role is meant to be read-only. If your account uses that role for people who should not have those abilities, you may want to create a more restricted role instead.
