Reviewers receive reviews in two ways. When you open a round, Rhythm assigns reviewers automatically based on that round’s assignment rules. You can also assign specific people, or an entire committee, to specific abstracts by hand. Only staff can do either action in the Console; reviewers and committee members cannot open rounds or assign reviews themselves, even from a link that otherwise lets them access the review.
Prerequisites
- A review round that has never been opened, with at least one assignment rule, if you want Rhythm to assign reviewers automatically.
- An open round on the abstract's review process, if you want to assign reviewers by hand to specific abstracts.
Open a Review Round
Opening a round checks the abstracts in that review process against the round’s assignment rules and creates a review for every reviewer who matches those rules.
- Go to Events › (event) › Setup › Abstracts › Review Rounds.
- Select Open Round.
- Choose the Review Process. The dialog lists the abstract types that use it and shows the round that is currently open, if any.
- Choose the Review Round to open. Only rounds that have never been opened are offered.
- Select Open.
Result
The dialog closes and the rounds list reloads. The round usually shows Opening at first, so refresh the list later to confirm it reached Open. Rhythm does not show completion on this screen; check the round’s status, or look for the new reviews, to confirm the assignment work finished.
Warning
If the round has no assignment rules, Rhythm refuses to open it and tells you to create rules on the round first. If opening fails, the round’s status changes to Error; select the status to see the reason. After a round has opened or failed, Rhythm does not offer it for opening again, so you cannot retry a failed round. Create a new round instead.
If a review process serves more than one abstract type, opening the round includes only the first abstract type. Abstracts from the other types in that process are not included in that opening.
Assign Specific Reviewers or a Committee
Use this option when particular people, or an entire committee, need to review chosen abstracts. For example, you might use it for a late program addition or to replace a reviewer who cannot complete an assignment. The event must have an open round before this option is offered.
- Open the abstract's record, then choose Abstract Options › Assign Reviews.
- Select Add Assignee for each reviewer or committee you want to add.
- For each row, choose whether it is a Contact or a Committee, then choose the specific person or committee.
- Select Assign Reviews.
Result
Rhythm shows a progress indicator while the assignment runs, then closes the dialog and refreshes the abstract. Rhythm creates a review for each named contact, and for every current member of each named committee, on the abstracts you selected that sit in an open round.
Warning
Assigning a committee assigns all of its current members; you cannot limit the assignment to certain positions from this dialog. If a committee has no current members, Rhythm refuses the assignment and names the empty committee in the message. Add at least one assignee before selecting Assign Reviews, because Rhythm refuses an empty request.
Each review created this way copies the reviewer’s contact details and current committee memberships onto the review at the time it is created. This lets you find and filter reviews later by the reviewer’s own details or by their committees. Later changes to the reviewer’s contact record or committee membership do not update reviews that already exist.
