Reviews capture what a reviewer thought of an abstract, including the score, status, and comments for the submitter and staff. Rhythm usually creates reviews automatically when a round opens or when you assign reviewers. You can also search for reviews, open a review to see its details, create or correct a review by hand, and delete reviews you no longer need.
Prerequisites
- An event with abstracts and at least one review process. To have Rhythm generate reviews automatically instead of creating them by hand, see Open a Review Round and Assign Reviewers.
- To create a review by hand, the abstract's review process needs an open round.
Find and Open a Review
Go to Events › [event name] › Reviews. The counts across the top show the event's total reviews, completed reviews, and reviews not yet started. Select any count to open the query tool with that list already loaded; reviews not yet started are also called unsubmitted reviews.
- Enter any combination of search criteria, such as the abstract's title, the reviewer's name or contact details, a committee, a date, a status, or a review process.
- Select Search.
- Select the abstract title in a result row to open that review.
Result
The Review 360 page shows the abstract, the reviewer's contact summary, the status, the score, the review date, both comment fields, the review round, and any custom-field answers your Rhythm account has added to reviews.
You can also open a person's reviews from their contact record. On a contact's record, open the Speaking Engagements tab, reached from Events › Speakers, to see every review assigned to that contact across events. On an abstract's record, open its Reviews tab to see every review for that abstract. Both lists open the same Review 360 page.
Create a Review by Hand
Create a review by hand when you need to record a review for someone, such as when they reviewed an abstract outside Rhythm and you want to keep the result on record.
- From Events › [event name] › Reviews, select Manually Create a Review.
- Choose the Assignee (the reviewer), search for and select the Abstract, and choose the Review Round.
- Set the Status.
- Answer any review questions your Rhythm account has configured, and enter a Comment to Submitter and Comment to Staff if you have them.
- Select Save Changes.
Result
Rhythm creates the review and opens its Review 360 page.
Warning
This form only shows a round when the abstract's review process has an open round. If no round is open, the page tells you there are no open rounds and links to the round settings so you can open one. Creating a review here does not email the reviewer, so they will not be notified that a review now exists under their name.
After you save the review, you cannot change the reviewer, the abstract, or the round. If you assign the same reviewer to the same abstract in the same round a second time, the save fails because Rhythm allows only one review for each reviewer, abstract, and round combination.
Correct a Review
Open the review from the search results, then select Edit. You can change the status, the answers to review questions, and both comment fields. If you change the reviewer's name on this form, the review still belongs to the person who was originally assigned; it does not move to a different person.
Result
Rhythm saves your changes. Rhythm recalculates the score by adding up the numeric answers to every review question, the same way it does when you create a review, so the score can differ from one the reviewer submitted directly.
Delete a Review
Deleting a review removes it entirely. You cannot undo the deletion, although the record stays in your Rhythm account's audit history.
- Open the review's 360 page.
- Select Delete.
- Confirm the deletion.
Result
The review is removed, and you return to the reviews search.
To delete several reviews at once, search for them from the Reviews screen, turn on bulk selection, and check each review you want to remove. Then select Delete Reviews and confirm.
Warning
Select each review's own checkbox. The checkbox in the table header appears to select every visible row, but it does not add those rows to the deletion. Only reviews you check one at a time are removed. If you select more than 10 reviews, a message tells you only 10 can be deleted at a time, but this does not stop the request from including every review you selected.
Rhythm does not check a review's status before deleting it, so you can delete a completed review with a score the same way you delete an unstarted one. Deleting a review removes its score from the abstract's round total, but the abstract's own review count is not adjusted to match.
Why You Can't Delete a Contact, Abstract, Event, or Committee
Rhythm will not delete a contact, abstract, event, or committee while a review still names it. If you see a message that the delete could not complete because dependent records exist, check whether that record is named on any review as the reviewer, the reviewed abstract, the event, or a reviewer's committee. Remove or reassign the review first.
A committee can also be blocked from deletion by a review that names one of its current members as the reviewer, even if the committee itself was never assigned to that review directly.
Tip
If you've removed every review and dependency you can find and a committee membership still can't be deleted, an older abstract-review relationship that isn't visible anywhere in the event record or audit log may still be attached behind the scenes. This can't be cleared from the Console; contact Support to investigate and remove it.
