The virtual show floor shows your exhibit hall as a drawing, including each booth, its status, and the exhibitor assigned to it. You can add shapes, labels, or furniture around the booths, too. Use the floor plan to lay out a new show floor, rearrange booths before an event opens, or assign several booths to a large exhibitor without leaving the drawing.
This article covers staff use of the floor plan from the Console. It assumes exhibitors are already turned on for the event and at least one show floor has been set up. If Show Floor does not appear in the event's side menu, check the event's exhibitor configuration. This article describes the virtual show floor available today; a separate, dynamic floorplan capability is not currently available in the Console.
Prerequisites
- Exhibitors must be turned on for the event, and your Rhythm account must have the virtual show floor available, before Show Floor appears in the event's side menu.
- You need permission to edit the event before you can open the floor plan or make changes on it.
Open the Floor Plan
- Go to Meetings & Shows › Events › [event name] › Show Floor.
Result
The show floor opens with a Show Floor: chooser, an Exhibitors: list, a toolbar, the drawing, and a property panel for the item you select. When you choose a different floor in Show Floor:, Rhythm redraws the booths for that floor.
Place, Move, Resize, and Duplicate Booths
- On the toolbar, choose Add, then Booth, to place a new booth on the drawing.
- Select an existing booth to open its property panel, where you can set its Number:, Type:, Fee:, Exhibitor:, Status:, Area:, Width:, Length:, and Angle/Rotation:, among other fields.
- Drag a booth to move it, or use its handles to resize it.
- From the booth's Booth Actions menu, choose Duplicate to create a copy.
Warning
A booth's position and size are not guaranteed to stay in place the next time you open the show floor. When you save a booth, Rhythm removes the stored position and size information before writing the record, so a booth you place or move on the drawing can be lost on the next reload. If the layout matters, treat the drawing as a working sketch and use booth numbers, types, and statuses as the lasting record, not exact placement.
Split a Booth or Merge Several Into One
- To split one large booth into smaller booths, select it and choose Split from its Booth Actions menu.
- To merge several adjacent booths into one larger booth, select all of them so the multiple-booths panel opens, then choose Merge. Rhythm asks Would you like to combine these booths into a large booth?
Rhythm offers Merge only when you select more than one booth. A booth created by splitting or merging is not linked to the booths it came from, so Rhythm does not keep a parent-and-child relationship between them.
Lock a Booth in Place
After you lay out the hall, lock booths to help prevent someone from moving them with an accidental drag.
- Select one booth, or select several booths to open the multiple-booths panel.
- Choose Lock to lock the selection, or Unlock to release it.
Assign a Block of Booths to an Exhibitor
- Select several adjacent booths so the multiple-booths panel opens.
- Choose Assign... and choose the exhibitor.
Result
Rhythm reserves the selected booths for that exhibitor in one action, so you do not need to assign each booth individually.
Create, Edit, or Delete an Exhibitor Without Leaving the Plan
You can add a missing exhibitor, fix exhibitor details, or remove an exhibitor while you work on the drawing.
- Select an exhibitor's booth, or choose an exhibitor from the Exhibitors: list, to open its panel.
- From Exhibitor Actions, choose Edit to change its Name:, Organization:, Categories:, or Logo:, or choose Delete to remove the exhibitor record entirely.
Warning
Deleting an exhibitor from the floor plan deletes the exhibitor record itself, not just the booth assignment. Rhythm asks you to confirm before deleting, but the page does not remind you that this removes the exhibitor everywhere else in the event. Confirm that you mean to delete the exhibitor, not simply free its booths.
Expected Result
Rhythm writes each action immediately to the booth, show floor, and exhibitor records behind the drawing. There is no separate save step and no draft mode. Exact booth position and size are the exception, as noted above, because they may not stay in place after a reload.
If Something Goes Wrong
| What you see | What it means and what to do |
|---|---|
| Show Floor does not appear in the event's side menu | Exhibitors are not turned on for the event, or the virtual show floor is not available on your Rhythm account. Check the event's exhibitor settings, or ask Support. |
| A booth you moved or resized has reset to its previous position after you reload | Rhythm does not keep the booth's position and size across a save. Use booth numbers and statuses as your reliable record, rather than exact placement. |
| Merge is not available | Rhythm offers Merge only when you select more than one booth. Select the adjacent booths first. |
| You are refused when opening Show Floor | You do not have permission to edit this event. Ask an administrator for that permission. |
