  • If Something Goes Wrong

If your organization is a training provider, use this page to find the people you serve, add new people, and review their certifications, applications, registrations, and invoices in one place.

Prerequisites

  • You are signed in to the Portal, and your contact belongs to your training provider's organization with the training provider administrator role.
  • Your association has turned on training provider administration.

Search for a Person

  1. Open your training provider's contacts page in the Portal.
  2. Enter a name or email address in the search box, or leave it blank to show every person your provider serves.
  3. Choose Search.

Result

You see a table of matching people with each person's number, name, email address, and location. Choose a name to open that person's record.

Tip

Search checks the name, email address, and contact identifier at the same time, so you can also find someone by entering their exact contact number.

Your Search Is Limited to Your Provider's Assigned Territory

Your training provider needs at least one territory before search will run. All territories must use the same type, either countries or states. If your provider has no territory, or has both country and state territories, Rhythm refuses every search until an administrator fixes the territory setup. If search still reports missing territories after you've confirmed the provider record is set up correctly, the message may point to a display issue instead of a configuration problem. Contact Support so they can check further.

Add a New Person

  1. From the contacts page, choose Create Contact.
  2. Complete the contact form your association has set up for this.
  3. Save.

Result

Rhythm creates the person's contact record and links them to your training provider when at least one address you entered is inside your provider's territory.

Warning

If none of the new person's addresses is in your provider's territory, Rhythm refuses to create the record. Double-check the address before saving.

View and Manage a Person's Record

  1. Open the person from a search result.

Result

You see the person's contact details, plus tables for their certifications, applications, courses, exams, activities, and invoices. From here, you can start an application, register them for a course or exam, or log an activity on their behalf. See Apply, Register, and Report Activities for the People You Serve.

To correct a person's contact details, use the edit option on their record and save the form. Rhythm checks the same territory rule when you edit a person as when you add one: the saved contact record must place the person in your provider's territory.

If Something Goes Wrong

What you see What it means and what to do
Unable to search contacts with a message about territories Your training provider has no territory set up, or it has both country and state territories. Ask an administrator to set up the territory correctly.
Unable to proceed — the organization isn't a training provider Your organization is not set up as a training provider in this account. Contact the association.
Unable to proceed — provider administration isn't enabled Your association has not turned on training provider administration. Contact the association.
A new contact is refused for being outside your territory The address you entered is not in your provider's assigned territory. Check the address, or contact the association if you think the territory needs to be updated.
Unable to load contact The person's record did not load, often because the provider no longer serves them. Confirm that the person is still someone your provider serves.
