If your organization is a training provider for an association, the Portal may let you run prepared reports about your provider’s work. These reports can cover certifications you’ve issued, applications you’ve submitted, and course or exam registrations you’ve made. The association decides which reports are available and what each report includes.
When to Use This
Use this when you want to download a report your association has made available to training providers. The report only includes records for your own provider. If Reports doesn’t appear, your association either hasn’t turned this feature on for providers or hasn’t listed any reports for providers to run.
Prerequisites
- You’re signed in to the Portal as a contact linked to a training provider.
- Your association has turned on provider reports and listed at least one report for providers to run.
Run a Report
- From your training provider’s contacts home in the Portal, select Reports.
- Under Select a Report:, choose one of the reports your association has made available. If your association gave the report a friendlier name, you’ll see that name instead of the report’s own name.
- Depending on the report you choose, one filter field appears: Program(s): for a certifications or applications report, Courses: for a course registrations report, or Exams: for an exam registrations report. Choose as many or as few as you want, or leave the field empty to include every program, course, or exam.
- Optionally enter a Date (Start): and Date (End): to narrow the report to a period.
- Select Run Report.
Result
Rhythm runs the report for your training provider’s own records and opens the result as an Excel file.
To leave without running a report, select Cancel to return to your provider’s contacts home.
What the Date Range Covers
The date range works differently depending on the report. For a certifications report, Date (Start) and Date (End) filter by the certification’s expiration date, so the report includes certifications expiring in that window, not certifications issued in it. For every other report type, the dates filter by the record’s own date.
What You Get Back
Every report downloads as an Excel file. You can’t preview the results on screen first; running a report always creates a file to open or save.
Why You Might Not Be Able to Run a Report
- No Reports option at all. Your association hasn’t turned provider reports on, so the Portal doesn’t show the option.
- A report is refused when you try to run it. The reports your association lists for providers can change. If a report you’ve run before is later removed from the list, Rhythm refuses it when you try to run it again, even if the option briefly still appeared.
- The program, course, or exam list is empty for a filter. Your association’s program, course, or exam catalog controls what appears in the filter, so an empty catalog leaves nothing to choose.
Tip
If your provider serves several programs, courses, or exams, you don’t need to run a separate report for each one. Choose as many as you want in the filter field, or leave it empty to include everything your provider’s records cover.
