If your organization is a training provider, you can apply, register, and report continuing-education activities for the people your provider serves. You pay during the same step they would use if they completed the activity themselves.

Prerequisites

  • You are signed in to the Portal, and your contact belongs to your training provider’s organization with the training provider administrator role.
  • You’ve found the person you’re acting for. See Find and Manage the People You Serve for help searching for or adding them.

Apply for a Certification on Someone's Behalf

  1. Open the person’s record, then choose Submit Application.
  2. Choose the certification program, unless Rhythm already selected it for you, such as when you start from a certification’s Submit Application/Renewal button.
  3. Complete the application steps the same way the person would if they applied themselves.
  4. Pay for the application.

Result

Rhythm saves the application for that person and returns you to their record.

Tip

The program list usually shows only the programs linked to your training provider. If your provider is not linked to any programs yet, you’ll see every program in the catalog instead.

Prerequisites

The certification application process must allow training providers to access it. If the process is not set up that way, its application activities are not available here, even when your provider is linked to the program.

If the person is in a jurisdiction that requires approval, and their employment or education needs verification, that verification generally must be completed before they can buy the exam approval transmittal.

Register Someone for a Course or an Exam

  1. Open the person’s record, then choose Register for Course or Register for Exam.
  2. Choose the course or exam, and then choose its offering or sitting.
  3. Complete the registration form.
  4. Pay for the registration.

Result

Rhythm saves the registration and returns you to the person’s record.

Tip

If a registration fails and the form includes a file upload, try registering again with a URL instead of uploading the file. If registration works without the upload, review the file itself; converting it to a different format sometimes helps. You can also upload the file after registration is complete.

Tip

Courses are usually limited to your provider’s linked programs, the same way applications are. Exams are not limited by those links, so you’ll see every active exam no matter which programs your provider is linked to.

Report an Activity on Someone's Behalf

  1. Open the person’s record, then choose Log Activity.
  2. Choose the activity type.
  3. Complete the activity form.

Result

Rhythm saves the activity for that person and processes it into credits right away, just as it would for the person’s own submission. When you’re done, Rhythm returns you to the person’s record.

Tip

The activity type list is not limited to your provider’s programs. It can also include types your association has hidden from members’ own activity page.

Warning

A submitted activity always defaults to Processed status. There is no setup option to make it start as pending or under review, and there is no way to require separate approval for a submitted activity. If you need that kind of review, add the activity’s credit as a requirement on a certification application, where approval can happen at the application level.

If Something Goes Wrong

What you see What it means and what to do
Unable to determine applicable applicant types Rhythm could not find the application processes this person is eligible for. Try again, or contact Support if it keeps happening.
Unable to save application or Unable to save activity The save failed, often because the person is outside your provider’s authorized territory. Confirm the person is one your provider serves.
You don't see a program, course, or exam you expected Your provider may not be linked to that program yet. Ask an administrator to add the link.
You can't find the option to act for this person at all Confirm that your contact has the training provider administrator role, and that provider administration is turned on for your association.
