Every count tile number opens the records behind that count. Select the number, or select the loading indicator while the tile is still counting, to open a ready-made report in the Query Center.
Prerequisites
- Access to the Submissions Query Center.
- Permission to run the report type behind the tile you open: Spaces for the two space-count tiles, or Submissions for the two submission-count tiles. If you do not have that permission, the report will not run, even if you can see the tile’s number.
Open the List Behind a Tile
- On the Overview, the Spaces list, or a space’s submissions page, find the count tile you want to review.
- Select the number, or select the tile’s loading indicator if it is still counting.
Result
The Query Center opens with that tile’s report already queued and run, so you go straight to the results instead of the Query Center’s report lists.
What Each Tile Actually Opens
A tile does not always open the exact same records it counts. Use this table to confirm what you will see:
| Tile | What opens | Notes |
|---|---|---|
| Open Portal Form Spaces | A report of Portal-form spaces with status Open | This is meant to match what the tile counts, but the list and count can disagree in some cases because the report checks the status text differently than the tile calculates its count |
| Closed Portal Form Spaces | A report of Portal-form spaces that are not Open | This includes draft spaces, which the tile does not count, so the list can show more spaces than the tile’s number |
| Submissions in Progress | A report of the space’s submitted submissions | This matches what the tile counts |
| Approved Submissions | The same report as the Submissions in Progress tile above it | This opens a list of submitted submissions, not approved ones. There is no separate approved-submissions report behind this tile |
If you select the Approved Submissions tile expecting approved submissions, you will land on the same in-progress list that the tile above it opens. To see approved submissions specifically, change the status condition in the query after it opens. See Design and Run a Query for how to edit a query’s criteria.
Once You're in the Query Center
These lists open as ordinary reports, so you can filter, sort, re-run, or download them like any other report. You can also save your own version, such as a corrected approved-submissions version of the report above, so you do not have to update the criteria again next time.
If the Report Won't Run
Seeing a tile’s number does not guarantee you can open the list behind it. The tile can show a count without checking whether you have permission to run the report, so the report might refuse to run after you select the tile. If that happens, the number was still accurate; you are missing the separate permission needed to run that report type. Ask an administrator for permission to run Spaces reports for the two space tiles, or Submissions reports for the two submission tiles.
