Submissions organizes most of your work by space. In the Console, you usually find a space first, then work inside it or adjust its setup. This article shows where to find the spaces list, how a space’s menu works, where to find its setup pages, and where administrators manage setup for your Rhythm account.
Where Your Spaces Live
Go to Submissions › Spaces to see every space in your Rhythm account. Depending on your setup, this list may also be the first page you see when you open Submissions. Either way, it is the same spaces list.
The spaces list starts with two counters, Open Portal Form Spaces and Closed Portal Form Spaces. Below them, you’ll see buttons to create a new space or clone an existing one, a panel of spaces you opened recently, and search fields. Only Portal-form spaces count toward the two counter tiles. Spaces of any other type, and Portal-form spaces that are still in draft, are not included in either number. See Check Submission and Space Counts for more about what these counts include.
To find a space, search by Name:, Type:, Status:, or ID:. Name searches ignore capitalization, so you do not need to match the capitalization used when the space was created. You can sort results by name, type, or status, and results appear ten to a page.
Working Inside a Space
When you open a space from the list, you land on its submissions. The menu then changes to show options for that space, including its overview, submissions, reviews, queries, and setup. As you move deeper into a space, the main Submissions menu on the left gives way to the menu for the space you are working in.
A Space's Own Setup Page
Each space has its own setup landing page. To open it, choose Setup from that space’s menu. To change the space's own status, open Setup › Space Details and change it there. The page shows two short checklists. The first covers the space’s submission setup, including at least one submission process and the submission types you’ll allow. The second, headed “What about reviews?”, covers review setup: at least one review bucket, your review teams, at least one review round, your review settings, populating the space through maintenance, and installing the Reviews feature in your Portal if submitters will see it there.
These checklists are guides, not live progress trackers. They show every step whether or not you have completed it, so a finished step will not change to done. Use the checklists as reminders of what to configure, not as a record of what remains.
Account-Wide Setup
Some Submissions setup applies across your Rhythm account instead of one space. This includes custom fields, forms, and page layouts for submissions and for reviews, status reasons, and reviewer decline reasons. You’ll find these settings under Submissions › Setup, which opens to an overview with two short checklists: one for submissions-wide setup and one for reviews-wide setup. These checklists follow the same style as a space’s setup page. You need a Submissions Administrator role to open this account-wide setup. A day-to-day Submissions user can follow the Setup menu entry, but the page will not open for them.
If a Link Points at a Space That No Longer Exists
Sometimes a bookmark, shared link, or old reference points to a space that has been deleted or never existed in your Rhythm account. When that happens, the page does not open, and there is no separate “space not found” message. Go back to Submissions › Spaces and search for the space by name, type, or status instead of trying the link again.
