The figures on the events hub, an event’s home page, and each section overview page do not update every time you open them. Rhythm counts them from a reporting copy of your data, keeps that answer for a set time, and shows it again until the figure is ready to be counted again. Once you know that timing, you can decide when a dashboard figure is close enough and when you should open the records themselves.

Prerequisites

  • You can open the events hub or the event whose figures you want to check.
  • To open the records behind a figure in the Query Center, your role also needs permission to use that Query Center.

How Long a Figure Stays the Same

Most figures keep the same answer for up to a day before Rhythm counts them again. Figures for one event, such as the event’s headline counts or section overview counts, keep the same answer for ten minutes because they are meant to stay closer to current. In both cases, the timing is based on when Rhythm last counted the figure, not when the records changed. If someone registers one minute after Rhythm counted a figure, that registration will not appear in the figure until the freshness window passes and someone loads it again. These refresh cadences can be adjusted within limits, and the ten-minute window for single-event figures is one adjustment from the once-a-day default most figures use.

Warning

An event's active-registration query can lag well behind the ten-minute figure window in practice. In at least one observed case, a new registration took closer to ninety minutes to appear. If a newly registered attendee still does not appear after the normal freshness window has passed, do not assume the visible refresh or reload action will force it to catch up immediately. Give it more time, or confirm the registration directly on the person’s own record.

Warning

A dashboard figure can briefly disagree with the actual records behind it. If you register someone and the events hub or event headline count does not change right away, the registration record is still correct. The count is showing its last kept answer and will catch up after its freshness window passes.

Where the Figures Appear

  1. The events hub (Meetings & Shows › Events) shows how many of your organization’s events are open and how many registrations they have.
  2. An event's home page (Meetings & Shows › Events › [event name] › Overview) shows that event’s headline figures — active registrations, abstracts, speakers, and sponsors — along with the Registration Rate and Registrations by Type charts.
  3. Each section's overview page inside an event, such as Registration, Groups, Sessions, or Abstracts, shows figures for that section. See See Registration and Record Counts for an Event for what each section shows.

Make a Figure Recalculate

Rhythm does not include a Console control that forces the Registration Rate or Registrations by Type charts on an event’s home page to recalculate. They show the same answer until the ten-minute window passes and someone reopens the page. For other figures, the reliable way to see an up-to-date number is to wait for the freshness window to pass, then reload the page. These dashboard pages do not have a separate “refresh now” action.

Tip

If you need the current, exact list right now, open the records through the Query Center instead of relying on the dashboard figure. See Ask Questions About Your Events Data.

Go from a Figure to Its Records

  1. Choose the number on any figure that supports it.

Result

Rhythm opens the event’s Query Center with a question already built to list the records included in the figure. You need Query Center permission for the event to open that list. Without that permission, you can still see the number, but Rhythm will not open the records behind it.

Warning

A figure and the list of records behind it do not always use the exact same rule. On the events hub, for example, the Registrations tile counts both active and pending-approval registrations, but the list it opens shows only active registrations. In that case, the number and the list can disagree because of how each one was written, not because anything is broken.

Understand the Two Home Page Charts

Registration Rate compares this event’s day-by-day registration total with up to six earlier events of the same event type, lined up by the number of days before each event started. Rhythm chooses that comparison set automatically from your existing events and query data, so you cannot pick or exclude earlier events. Registrations by Type shows a pie chart of the event’s active and pending-approval registrations split by registration type. Neither chart has a refresh control, an error message if it fails to load, or a way to open the records behind a slice or line. If a chart appears blank or stuck loading, reload the page.

If Something Goes Wrong

What you see What it means and what to do
A figure does not reflect a registration you just made The figure is showing its kept answer. Wait a few minutes, then reload the page.
A chart or figure never finishes loading Reload the page. If it keeps failing, confirm the numbers with a query instead and contact Support.
A figure's number and the list it opens do not match Some figures and their drill-through lists use slightly different conditions, so this can happen even when nothing is wrong. Build a query directly if you need the exact criteria.
Choosing a figure's number does nothing Your role does not have the Query Center permission for this event. Ask an administrator to grant it.
