A review process holds the setup for abstract reviews. It controls which committees or positions administer the reviews and which emails reviewers or abstract submitters receive. Review rounds belong to a process and decide which reviewers are assigned to each abstract.
Prerequisites
You need access to the event in the Events Console.
Where to Find It
Open the event, then go to Setup › Abstracts › Review Processes. This page lists every review process for that event.
- Create Abstract Review Process opens a blank form.
- Open a process from the list to change it.
Rhythm shows review processes one event at a time. The Console does not have a single list of every review process across your Rhythm account. For that reason, the review menu options were removed from Global Events Setup, and review setup now exists only at the event level.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name: | Any text | Empty | Required |
| ID: | Suggested, uppercase | Suggested from the name, prefixed with the event's identifier | Required. Permanent after you save |
| Status: | Active, Inactive | Active | Controls whether the process appears as a choice on staff screens |
| Abstract Review Administrators (switch and a table of rows) | On, off | Off | Names the committees, and optionally specific positions within them, whose members administer this process's reviews |
| Review Assignment Email (switch and email editor) | On, off | Off | Saves an email template on the process for telling reviewers they have reviews waiting |
| Review Submission Email (switch and email editor) | On, off | Off | Saves an email template on the process to confirm a submitted review |
Each administrator row needs a committee. You can also choose a position within that committee, but the position is optional. If you turn on Abstract Review Administrators, Rhythm requires at least one row before you can save.
Warning
Saving an assignment or submission email template makes it available, but it does not guarantee that Rhythm will send it. Test with a real round before you assume reviewers or submitters will receive the email you wrote.
Customizing the Emails
Both email templates support merge fields for the abstract, the review, and the reviewer's contact. Use them to address each email to the right reviewer about the right abstract without typing those details by hand. Before reviewers see the email, use each editor's Preview to send a test to any address, rendered against a real review you choose. To preview the Review Submission Email, you need the ID of an existing abstract review. Find it on the Abstract 360 screen by opening the options menu and choosing Copy ID to Clipboard. To preview the Review Assignment Email, you also need an existing review's ID, which you can find on the Review 360 screen the same way.
Tip
If an abstract type points to a different review process than the one you are editing, resending that process's assignment email to a reviewer sends the template tied to the abstract's type. That template may belong to a different process than the one you are viewing, so check the abstract's type when an email does not match what you expected.
Dependencies and Precedence
- A process's administrators come from the committees and positions in your Rhythm account committee setup. If a process still names a committee or position, Rhythm refuses to delete that committee or position until you remove it from the process.
- Review rounds and their assignment rules match abstracts to individual reviewers. The process only sets up the administrators and email templates that every round in that process shares.
Change Impact and How to Revert
Warning
Deactivating a review process does not close its rounds, stop reviews already in progress, or stop its emails from sending. Reviewers keep reviewing under it. Deactivating only removes the process as a new choice on staff screens.
You can delete a review process only after nothing still names it: no review, no abstract type, and no abstract. If you no longer need a process but cannot delete it, deactivate it instead.
Permissions
You need access to the event in the Events Console to create, edit, or delete its review processes.
Validation and Errors
- A process needs a name, an identifier, and a review process record before you can save it.
- If you turn on administrators with no row, or turn on an email with no subject and body, Rhythm refuses to save.
- If a review, abstract type, or abstract still names a process, Rhythm refuses to delete it and shows an error. If you do not need it offered anymore, deactivate it instead.
