A priority point type is a category of points an organization earns toward exhibitor priority, such as "Years Exhibiting" or "Sponsorship Level." You can award a point type by hand on an organization or exhibitor record, or use accumulation rules to calculate points automatically from the organization’s history, including membership years, sponsorships, past exhibiting, or a custom rule built for your Rhythm account.
Prerequisites
You need the administrator permission for priority point type setup. Accumulation rules, including the option to test them, appear only when this feature is turned on for your Rhythm account. Without the feature, a point type includes only a name, identifier, and status.
Where to Find It
Go to Meetings & Shows › Setup › Exhibitors › Priority Point Types. This page shows every priority point type in your Rhythm account.
- Create Priority Point Type opens a blank form.
- Open a type when you need to edit it, including its accumulation rules.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name: | Any text | Empty | Required |
| ID: | Suggested, upper case | Suggested from the name | Required. You cannot change it after you save |
| Status: | Active, Inactive | Active | Controls whether the type is offered |
| Enable Accumulation Rules | On, off | Off | Turns on automatic points for this type. After you turn it on, you must add at least one rule |
Accumulation Rules
Each rule tells Rhythm which history to review, how many points to award, and which dates to include if the rule needs a date range. Add Accumulation Rule opens a dialog where you choose the rule type, complete that type’s fields, and give the rule its own name and identifier.
| Rule Type | What It Awards Points For |
|---|---|
| Membership | Years held in selected membership types and packages, or all of them, at a set number of points per year |
| Sponsorship | Sponsorships in selected categories and opportunities, filtered by amount per sponsorship or in total, with either fixed points or points multiplied by quantity |
| Exhibitor | Booths at selected event types, events, or booth types, with either fixed points, points per year, points per event exhibited, or points per square footage |
| Custom | A single Lambda function your Rhythm account has registered through Integrations, which calculates the points |
When you filter a Sponsorship rule by amount, Per Sponsorship checks each sponsorship record by itself against the minimum and maximum you set. For example, a $10,000–$20,000 range counts only sponsorships whose own amount falls between those numbers. Total adds the organization's sponsorship amounts for the whole consideration period, then checks that combined total against the range. If the total is below the minimum or above the maximum, the rule awards no points.
You can limit any rule with a Consideration Period, using a start point and an end point. Each point can be all time, a specific date, or a date relative to today. Rhythm recalculates relative dates from today each time points are recalculated, so the window moves forward instead of staying fixed.
Tip
Before you save a new or changed rule, use Test Accumulation Rules to run every rule on the form, including unsaved changes, against one organization you choose. The test shows the points each rule would award that organization, without saving anything. If a rule would award zero points for that organization, the test does not show a row for that rule.
Dependencies and Precedence
- Accumulation rules run only when the type’s Enable Accumulation Rules switch is on. When the switch is off, you can still assign the type by hand on an organization or exhibitor record.
- Priority points feed the priority your Rhythm account can use elsewhere in exhibitor and booth setup.
Change Impact and How to Revert
Warning
Saving a new or changed accumulation rule does not recalculate points for organizations that already have points of that type. The rule affects only points calculated after you save it. To apply a changed rule to existing records, reprocess accumulation rules from your account’s review or exhibitor maintenance tools.
Renaming a type is safe because points refer to the type by its identifier. Deactivating a type stops it from being offered where types are selected; it does not remove points already awarded for that type.
Permissions
You need the administrator permission for priority point type setup to create, edit, or test rules on a type.
Validation and Errors
- You cannot save a type without a name or a valid identifier.
- You cannot save after turning on accumulation rules unless at least one rule is defined.
- Two accumulation rules on the same type cannot share an identifier, called Rule ID in the rule dialog. Change one of the identifiers before you save.
- Test Accumulation Rules is available only after the type has at least one rule. To run the test, you must choose an organization and click Generate Points.
