A few registration settings apply to every event in your Rhythm account: registration categories, named registration deadlines, add-on types, and change fees. You maintain each list once here, so you do not have to recreate the same setup for every event.
Where to Find It
You’ll find all four lists under Meetings & Shows › Setup › Registration:
- Categories — registration categories
- Deadlines — named registration deadlines
- Add-On Types — registration add-on types
- Change Fees — registration change fees
Each list has its own Create button, and each row has its own Edit, Clone, and Delete actions.
Registration Categories
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name | Any text; required | — | Appears wherever you choose the category, including the Registration Category: field on an event’s registration type form |
| Identifier | Suggested from the name; editable on create, fixed on edit | Derived from the name | Refers to the category behind the scenes; use only letters, digits, underscores, hyphens, and pipes |
| Status | Active or inactive | Active | Controls whether the category is available as a new choice |
A registration category connects registration types that mean the same thing across different events. For example, “Press” at one event and “Press” at another can share one category, so reports and setup can use the shared category instead of separate event-specific types. You can’t delete a category while any event’s registration type still points to it. Categories are account-wide, so you can’t create one for only a single event. As more events and integrations use categories, plan naming conventions that keep the list organized.
Registration categories also affect digital library access. A file cabinet’s automatic access settings can make a folder visible based on a registration category. When a registrant’s registration type rolls up to that category, they can see the associated folder in the digital library. If a document is not showing for registrants who should see it, check the category named in the file cabinet’s automatic access settings and confirm the registrant’s type rolls up to it.
Registration Deadlines
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name | Any text; required | — | Names the pricing tier, such as “Early Bird” |
| Identifier | Suggested from the name; editable on create, fixed on edit | Derived from the name | Refers to the deadline behind the scenes |
| Status | Active or inactive | Active | Controls whether the deadline is available as a new choice |
A registration deadline you create here is only the reusable name, not the date. Each event adds that deadline to its own registration settings with the event-specific date, and each package can have its own price for that deadline. After you create a deadline such as “Early Bird” or “Super Early Bird” here, add it with a date to each event that should use it. You can’t delete a deadline while a package, add-on, registration setting, session or function fee, or registration still uses it. If you rename a deadline here, the pricing-period label registrants see on the registration page also changes, such as "Early Bird until …" or "Regular until …", because that label uses the name you set.
Add-On Types
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name | Any text; required | — | The heading that groups add-on products, such as “Meals” or “Merchandise” |
| Identifier | Suggested from the name; editable on create, fixed on edit | Derived from the name | Refers to the type behind the scenes |
| Status | Active or inactive | Active | Controls whether the type is available as a new choice |
An add-on type is the account-wide heading that groups an event’s add-on products on the registration form. Every add-on product has one type, so registrants see extras such as parking passes and merchandise sorted under the labels you control. You can’t delete a type while an add-on product still uses it.
Change Fees
A change fee is the amount a registrant pays when they modify a registration they’ve already completed. Because a change fee is a sellable product, its form includes more than a name. It also asks for a business unit, prices, a member price, and accounting setup, just like other products in your account. When a registration process allows registrants to edit their registrations, the process names the change fee to charge. You choose that fee on the process itself, not here.
A miscellaneous product you create elsewhere in Finance & Billing is not the same thing as a registration change fee. It does not meet a process’s change fee requirement, because the change fee has to be created and selected from this list.
You can’t delete a change fee while any registration process still names it. If a registrant edits a registration and neither that registration’s process nor the event’s default process names a change fee, the modification can’t be priced and fails.
Set the Display Order
On the Categories, Deadlines, and, where applicable, event-level Types and Packages lists, drag a row to move it. The new order saves immediately, with no confirmation step, and controls the order registrants see. If two records have the same position, they sort by name instead.
Permissions
You need Events administrator access to Setup › Registration to view or change any of these four lists. Without that access, you won’t see the lists or their create, edit, and delete controls.
Validation and Errors
| Message or situation | Cause and fix |
|---|---|
| The save is refused as invalid | The name is missing, or, for a category, the identifier contains a character other than a letter, digit, underscore, hyphen, or pipe |
| Delete is refused | Another record still uses the category, deadline, add-on type, or change fee you’re trying to delete. Remove that dependency first, or leave the record in place and mark it inactive instead |
| A registrant’s modification fails with a configuration error | The registration’s process, and the event’s default process, don’t name a change fee. Set one on the process |
