A job board can let job seekers apply to a posting directly, and the employer receives an email for each application. This article explains how to turn that on and write the email; for the rest of the job board setup, see Job Boards.
What It Controls
- Whether Apply to Job appears for postings on this board
- The email your organization sends to the employer for each application, including the subject, body, copy addresses, and blind-copy addresses
Where to Find It
Go to Career Center › Setup › Jobs › Boards, open a board, and find the Online Job Application card.
Prerequisites
You need the permission your administrator grants for Career Center setup.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Online Job Application | On, off | On for a new board | Controls whether job seekers can apply directly from this board |
| Cc, Bcc | Free text | Empty | Adds more recipients to the application email |
| Subject | Text with merge fields | A default subject that names the posting and applicant | Required while online applications are on |
| Body | HTML with merge fields | A default body with a resume link | Required while online applications are on |
Turning Applications on or Off
When you turn Online Job Application on, the board must have an email template with at least a subject and body. You cannot save the board with the switch on until both are entered. Turning it off keeps the postings visible on the board, but job seekers cannot apply through it. Existing applications that were already submitted are not affected.
Warning
A board’s online application switch only controls whether that board shows Apply to Job. A posting still needs its own application address to accept an application. If the posting does not have one, the application is blocked even when online applications are on for the board.
Writing the Application Email
The application email always goes to the posting’s application address, and this editor does not let you choose a different recipient. The merge-field picker offers six groups: the applicant’s contact and organization, the job posting, the resume, the application, and the job board itself. Each group includes any custom fields your account has added.
Warning
The organization merge group refers to the posting’s own organization, not the applicant’s organization. Check which organization you mean before you use it in your template.
Warning
This editor does not let you set a sender name, sender address, or reply-to address for the application email, even though the record can hold them. Employers reply to your account’s default sender unless those values are set another way.
A new board, or an existing board with no saved email, starts with a default template that names your account and links to the applicant’s resume.
Warning
Test the default template’s resume link before you rely on it. The default uses the resume’s own stored address, which may not match the download link prepared for the employer when someone applies. If the link does not work for your employers, write your own template.
Tip
Renaming your account later does not update a board’s already-saved email. The name is written in when you save the board, not each time the email is sent.
Dependencies and Precedence
The application email template is required only while Online Job Application is on. Turning online applications off keeps the saved template without requiring it. Copy and blind-copy addresses are saved exactly as you type them and are not checked.
Change Impact and How to Revert
Changes take effect the next time someone applies through this board. Turning applications off does not remove the saved email template, so turning them back on later restores your previous email unless you changed it in the meantime.
Permissions
Changing a board’s online application settings requires the permission your administrator grants for Career Center setup.
Validation and Errors
You cannot save the board with Online Job Application on unless the email has both a subject and a body. If a posting on this board has no application address, the application is blocked even when the board’s switch is on.
