A Zoom connection lets Rhythm register your contacts for Zoom meetings and webinars, then report attendance after registrants join. Each connection is one approved link between Rhythm and a Zoom account. You can keep multiple connections when different departments run sessions from separate Zoom accounts.
Prerequisites
- Your Rhythm account must be entitled to the Zoom integration. If it is not, contact your Customer Success Manager. Zoom is purchased and enabled separately from your core Rhythm account, so if you cannot add or reconnect Zoom, the integration may not be enabled for your account, even if you had a connected account before.
- This entitlement, including Zoom Webinar, can be enabled separately for your sandbox and your live account. If Zoom works in one place but not the other, ask your Customer Success Manager to confirm that both are enabled.
- You need a Zoom account you can sign in to and approve, with a Meetings or Webinars license. For a Zoom Webinar connection, you may also need admin-level permissions in Zoom. If Zoom shows a message about your license or permissions during setup, the signed-in Zoom user usually needs that higher access; it does not usually mean Rhythm is misconfigured.
Connecting an Account
- Go to System & Security › Integrations › Zoom, then select Connect Zoom Account.
- Rhythm sends your browser to Zoom. Sign in and approve Rhythm's access to your Zoom account.
- Zoom sends you back to Rhythm, where a form opens with Name and ID fields and a Status switch.
- Enter a Name for the connection. Rhythm suggests an ID from the name and checks whether another connection in your Rhythm account already uses it.
- Save.
Result
The connection appears on the Zoom list as Active. You can choose it when you set up video conferencing for an event or course offering.
You do not enter your Zoom password in Rhythm. You approve access on Zoom's sign-in page, and Rhythm receives only the approval that Zoom sends back.
Holding More Than One Connection
Your Rhythm account can connect to more than one Zoom account at the same time. Give each connection a clear name and identifier so you and your colleagues can choose the right Zoom account for an event or course offering. Rhythm checks for duplicate identifiers, not duplicate names, so two connections can share a name but cannot share an identifier.
Tip
When you cancel a registration, Rhythm needs to know which Zoom connection created the original registration so it can cancel the registration in Zoom. The application you used to register the person, either Events or Certifications, is responsible for remembering that connection. The Zoom connection itself does not track which registrations used it. Registration through Events has been confirmed to work this way. If you use the same connection for course offering registrations in Certifications, treat that path as unconfirmed and test both registration and cancellation before relying on it.
Reauthorizing or Renaming a Connection
Open an existing connection from the list when you need to change its name or other settings. If the connection stops working, use Reauthorize on the edit screen to approve access in Zoom again without losing the connection's identifier or settings.
Warning
Reauthorizing sends your browser to Zoom immediately, with no confirmation step. Any unsaved changes you typed on the form are discarded. After you approve access again, Rhythm uses the Zoom account you approved during that reauthorization. If you accidentally approve the wrong Zoom account, every future registration through this connection moves to that account without another warning.
Turning a Connection Off or Removing It
The Status switch on a Zoom connection's form lets you mark it Active or Inactive. It has not been confirmed whether an inactive connection is skipped when someone chooses a Zoom account for a new registration, so do not rely on this switch alone when you need a connection to stop being offered.
To permanently remove a connection, open the Zoom list and use the delete action on that row. Rhythm does not stop you from deleting a connection that is still named in an event's or course's video conferencing setup. If you delete that connection, future registrations through that setup will fail. Before you delete it, check your events and course offerings for references to the connection.
Warning
In some cases, deleting an inactive connection is blocked by a dependency error instead of completing. This happens when an older event registration is still tied to that connection through a legacy relationship. If you see a dependency error while deleting an inactive Zoom connection, contact Support; they may need to clear that reference before the delete can go through.
Permissions
To view, save, or remove a Zoom connection, you need to be signed in to Console for your Rhythm account. No more specific permission is listed beyond account membership.
Validation and Errors
| What you see | Cause | Fix |
|---|---|---|
| "Unable to save Zoom Account" right after approving access at Zoom | Your Rhythm account is not entitled to the Zoom integration, or Rhythm could not exchange the approval that Zoom returned | Confirm your Rhythm account's entitlement with your Customer Success Manager, then try connecting again |
| A red warning that a record already exists with this name, while creating a new connection | The identifier Rhythm generated, or the one you typed, matches an existing connection's identifier | Change the name or identifier. This warning does not block saving, but the server may refuse a duplicate |
| A registration through a Zoom connection fails after you deleted that connection | The connection named in the event or course offering no longer exists | Reconnect Zoom and update the event's or course's video conferencing setup to use a valid connection |
| An error message that reads like it came from Zoom itself, rather than from Rhythm, when connecting or registering | Zoom refused the request because of something in the Zoom account, such as a license, permission, or account restriction | Resolve the issue in your Zoom account first; Rhythm is passing along Zoom's own refusal |
| "Illegal operation - do not have access" when trying to add or reconnect a Zoom account, even though your account should be entitled | The integration connection for your Rhythm account can get into a state where it needs to be refreshed | Contact Support; refreshing the integration has resolved this for other accounts |
| A Zoom-related save or setup action that failed earlier now works after you use Reauthorize | The connection's approval with Zoom had gone stale | Try Reauthorize as an early troubleshooting step whenever a Zoom-dependent save or setup action fails unexpectedly |
| A change you made to Zoom's own app settings for your account has not taken effect yet | Zoom reviews each app configuration change before it becomes active, which can take a day or two | Wait a day or two and check again before assuming the change did not save |
