When someone registers for a Rhythm event with Zoom turned on for a session, Rhythm registers that contact in Zoom too. You do not need to add each registrant separately in Zoom.

Warning

The Zoom webinar or meeting must have Registration Required turned on in Zoom before Zoom accepts registrants from Rhythm and creates personal join links. This setting is in Zoom, not Rhythm, so check it first if registrations are not reaching Zoom or registrants are not receiving join links.

What Rhythm Sends to Zoom

Rhythm sends the registrant's name, email address, mailing address, phone number, job title, and organization when those details are available. It sends those details through the Zoom connection tied to the session.

Zoom requires at least an email address and a first name. If either value is missing from the contact record, Zoom refuses the registration. Depending on how the webinar or meeting is set up, Zoom can also require other standard fields; for example, a missing state value has caused a registration to fail. If Zoom's error names a required field, make sure your Rhythm registration flow collects and requires that value before someone can register.

Zoom also checks some values, such as country code, against its own format. If the value in Rhythm uses a different format, Zoom decides whether to accept or refuse it.

If the Zoom webinar or meeting has custom registration questions set up in Zoom, Rhythm does not see or answer those questions. When Zoom requires an answer to a custom question, the registration can fail in Zoom even though it looks correct in Rhythm. If this happens, check the session's registration settings in Zoom and either remove the requirement from the custom question or make it optional.

Warning

If you use a Zoom webinar for a course offering, registrations have failed to reach Zoom when that course offering is also linked to an event. The same kind of course offering can register successfully when it is not tied to an event. If a course offering's Zoom registrations are not appearing in Zoom, check whether the offering is linked to an event as a possible cause.

The Join Link Comes from Zoom, Not from Rhythm

This detail causes the most confusion: Zoom, not Rhythm, sends the email containing the registrant's personal join link. The Rhythm confirmation email is a standard event email, and it does not include the Zoom-specific access link. Zoom sends that link only in its own confirmation email.

If a registrant says they did not receive a way to join the session, first check whether Zoom's confirmation email is turned on for that webinar or meeting. Then confirm the email reached their inbox before assuming there is a problem with the Rhythm registration. If the registrant was added directly in the console and has not finished setting up their Rhythm account by choosing a username and password, that incomplete setup may also affect the missing Zoom link, so check the account setup status too.

A registration record's own join or meeting URL field is a useful diagnostic. Once that field has a value, the registration reached Zoom successfully. If it stays blank for one registrant while others on the same session have a value, something went wrong for that specific registrant even though the session settings look correct.

If the join link is still missing after those checks, look at how the webinar or meeting ID is entered on the Zoom connection for that session. The ID can include spaces, so you do not need to remove them to match Zoom's formatting. An extra space at the start or end of the ID, often picked up when copying and pasting, is more likely to cause a problem. If a join link is not populating, re-enter the ID and remove any leading or trailing space.

Tip

The webinar join URL merge field and the meeting join URL merge field work the same way. Each field has a value only after at least one person registers for that session, because the value lives on the registration record, not on the event. Use the webinar field for Zoom webinars and the meeting field for Zoom meetings; they are separate fields, not interchangeable. If you test an event email and the field you used is blank, register a test attendee for that session first, then send the test again.

The survey URL field on a course offering works differently. The Zoom integration does not fill it in automatically. If you want a survey link in a registration email, enter the survey URL yourself, the same way you enter the session's meeting or webinar ID.

Tip

Set up the Zoom connection and turn on registration in Zoom before your event's registration opens, so the join link is ready to send as soon as people register. If you connect Zoom after registration has already started, people who registered earlier do not receive a join link retroactively. Only registrations Rhythm sends to Zoom after the connection is working receive one. Register earlier registrants again if they still need to join.

If Registrations Stop Reaching Zoom

If registrations that used to reach Zoom suddenly stop appearing there, first check the connection. The Zoom account connected to the session may have been disconnected or may need to be reauthorized. See Zoom Connections to reconnect.

One workaround has restored syncing in this situation: temporarily change the linked Zoom meeting or webinar ID on the event, save, then change it back to the correct ID and save again. Sending the connection again this way can restore syncing for registrations created afterward.

Warning

Restoring the connection does not automatically resend registrations that failed to reach Zoom while it was broken. Resaving an individual older registration also does not reliably push it to Zoom. If people registered while syncing was down, the most reliable fix is to have them register again now that the connection is working.

If a specific registration's join link needs to be regenerated, such as after the linked webinar ID changed, clearing the stored join information on that registration and saving it again has sometimes made Rhythm request a fresh join URL from Zoom. This is not a confirmed, reliable fix. If it does not restore the join link, contact support with the registration details.

Zoom's own interface changes over time, so screenshots or navigation steps in a setup guide may no longer match what you see in Zoom. If a setting mentioned here is not where you expect it, check Zoom's current help documentation to see where that option moved.

If registration details for a specific person seem to be missing, check Zoom's Manage Attendees list for that webinar or meeting too. If Rhythm shows the registrant as missing but Zoom's Manage Attendees list includes them, the problem is likely how Rhythm is displaying or querying that record. If Zoom's Manage Attendees list is also missing them, the registration itself did not reach Zoom.

Cancelling a Registration

When you cancel a registration for a Zoom-enabled session in Rhythm, Rhythm tells Zoom to withdraw that registrant. This stops the registrant's personal join link from working. Zoom sends a cancellation email only if that session's settings in Zoom tell it to do so. Rhythm does not control or override that setting.

If you cancel and then re-register the same person for the same session, and Zoom returns an "already registered" type error on the second attempt, check whether the first re-registration actually succeeded before assuming the person failed to register. A duplicate re-registration request sent right after a successful one can produce this error even though the person is already registered in Zoom.

Zoom Attendance and Check-In

When someone joins a Zoom webinar or meeting they registered for through Rhythm, Zoom reports that activity back to Rhythm. Rhythm then stamps a Check-In Date, and for some sessions a departure time, on their registration.

This depends on Zoom being able to match the person who joined to the registration Rhythm created. Zoom sends a join and leave event for everyone who attends, including people who joined directly without registering through Rhythm. For those unregistered attendees, Zoom may not include an identifier Rhythm can use to find a matching registration, so their check-in and departure fields are not stamped.

Warning

Investigations into missing check-in data have pointed to two different explanations at different times. Earlier findings pointed to whether the attendee was logged into a Zoom account when they joined, while later testing pointed instead to whether the attendee joined through their own registration rather than as an unregistered guest. Both explanations have been observed, and which one applies in a given case has not been fully resolved. If a registrant's check-in date is not updating, the most reliable check is to confirm they joined using the personal link from their Zoom confirmation email rather than a general or shared link to the session.

Meetings and Webinars Work the Same Way

Zoom meetings and Zoom webinars work the same way in Rhythm. Rhythm sends the same information, Zoom uses the same requirements, and cancellations work the same way. The only difference is the type of Zoom session tied to your event.

An event or course offering stores only one Zoom meeting or webinar ID at a time, so Zoom's recurring webinar series are not supported. Rhythm has no way to know which occurrence in a series a person is registering for, and registrations will not sync the way you might expect. If you run a recurring webinar, either upload registrants to Zoom directly for each occurrence, or set up a separate, single-occurrence webinar in Zoom for each date and link a different Rhythm session to each one.

Warning

If a Zoom session was originally created as a meeting and later converted into a webinar, saving it as webinar data in Rhythm can fail. Create a new webinar in Zoom instead of converting an existing meeting.
