Connecting Higher Logic to Rhythm keeps your members, organizations, and events synced to your Higher Logic community. You can also send extra contact and organization details as Higher Logic demographics. This connection pushes data one way: Rhythm is the record of truth, and Higher Logic does not send changes back to Rhythm. If a member updates a profile field, uploads a photo, or joins a group directly in Higher Logic, that change stays in Higher Logic.

Prerequisites

  • An account code and API key from Higher Logic for your community.
  • Access to System & Security in the Console. You do not need a separate permission for this connection.
  • If your community also uses Higher Logic single sign-on, that setup happens outside this screen. Higher Logic will walk you through a separate technical worksheet for it.

Connect Higher Logic

  1. Go to System & Security › Integrations, then choose the Higher Logic card.
  2. Enter the account code and API key Higher Logic issued for your community. Rhythm sends this single set of credentials for the whole connection, not separate keys for different parts.
  3. Choose Contact Role Communities: to decide whether Higher Logic's role-based communities include nobody, everyone with the role, or only members with the role.
  4. Choose a Default Event Timezone: for any event that does not have its own time zone.
  5. Review Do not send organizations and Do not send events, then tick either option if you want to leave that data out of the push.
  6. Choose Save Changes.

Result

Rhythm saves your Higher Logic connection. Your account has one Higher Logic connection, so saving again replaces the previous settings.

Warning

Rhythm does not check your account code or API key with Higher Logic before saving. If either value is wrong, nothing reaches Higher Logic until you correct it, and Higher Logic's logs typically show an HTTP 403 (Forbidden) response. Correct credentials only confirm that Rhythm can reach Higher Logic. Higher Logic can still reject a later push when the data itself is malformed, so a successful save does not prove every record will import cleanly.

Tip

Higher Logic does not receive data pushed from your sandbox or a training account, even if you copy your live connection's settings there.

Choose What Is Sent

Setting Options Default Effect
Contact Role Communities: None, All, Members None chosen Controls whether Higher Logic's contact-role communities receive nobody, everyone with the role, or only members with the role. If a community is segmented by membership type, choose at least Members so the groups that segmentation depends on reach Higher Logic.
Default Event Timezone: Any time zone None chosen Used for an event sent to Higher Logic when that event does not have its own time zone. This setting does nothing while events are not being sent.
Do not send organizations Ticked or not Not ticked When ticked, organizations are left out of the push while contacts continue to sync.
Do not send events Ticked or not Not ticked When ticked, events are left out of the push while contacts and organizations continue. This is all or nothing; you cannot stop only certain event communities from syncing while continuing to send others.
"Was the community previously integrated with the legacy AMS?" Ticked or not Not ticked Tells Rhythm your Higher Logic community previously came from a different system, so Rhythm can match existing Higher Logic users correctly instead of creating new ones. Review the guidance below before you change this after go-live.
Test contact One contact, optional None While set, only that contact's changes are sent. Leave it empty to send everyone.

Some communities also have an option that Rhythm sets up on request, rather than from this screen. It stops filtering event-community sends by membership expiration date. When it is on, every event registrant keeps access to the event's community regardless of membership status. Ask Rhythm if you believe your community needs this.

How Rhythm Identifies Contacts and Organizations to Higher Logic

Rhythm sends a Legacy Contact Key with every contact and organization so Higher Logic can recognize the same record across pushes. By default, that key is the Contact ID. The "Was the community previously integrated with the legacy AMS?" checkbox changes which value Rhythm uses to match existing Higher Logic users. For some communities migrated from a prior system, Rhythm has sent the Contact Number instead of the Contact ID. If you are not sure which value your existing Higher Logic records were originally keyed on, check with Support before changing this setting.

Warning

Change the legacy-AMS setting only when you first set up the connection. If you turn it on or off after your Higher Logic community already has real records, the integration can treat existing members as brand-new users. Higher Logic keeps the old profile under the old key and creates a second profile under the new key, which can also break single sign-on for affected members. If this happens, merge the duplicate profile in Higher Logic, keep the one that already has the correct group assignments, then save the affected records in Rhythm again so current data reaches the surviving profile.

Do not configure an external system to look up a person by their Rhythm contact number as though it were guaranteed to be unique. Contact numbers are not always unique, and using one to match records can connect one person to another person's account.

The payload Rhythm sends also includes other identifiers alongside the Legacy Contact Key. A numeric MemberID field carries the membership number, and many records also include a value called sys_external_id. A typed prefix such as organization#12345 distinguishes an organization record from a contact record when both share the same numeric ID. If Higher Logic shows the wrong record for a shared numeric ID, and the organization's and contact's typed keys are genuinely different, Higher Logic usually needs to resolve that mismatch rather than Rhythm.

sys_external_id is populated automatically during a MemberSuite data migration. For other migrations, it is only present when a shared identifier was intentionally imported during setup, so most non-MemberSuite implementations fall back to Contact ID. If your imported data ever stored something else in that field, such as a profile image filename, Higher Logic may have created a record keyed on that value. After the field is corrected, the same person can sync again under a different key and end up with two Higher Logic records. A contact's history matters here too. If the record was merged at some point, that can explain why only some users show an unexpected key. A mismatch between the identifier Higher Logic expects and the one a record was created under is a common reason a member reaches a "not found" or disabled page in the community even though they can sign in elsewhere.

If you manually correct someone's key or profile directly in Higher Logic, the fix may not hold. The next sync can overwrite it if Higher Logic is still deriving its Integration Key from a mapped field such as sys_external_id. Confirm with Higher Logic which field it uses for that key, and remove any leftover mapping to a field you no longer want used that way. If Higher Logic has used the wrong identifier for a while and records no longer line up, decide which field should be the identifier going forward, then request a full sync so existing records reconcile under the corrected value.

If one contact stops syncing correctly after you merge duplicate Rhythm records, check whether they still have another Rhythm record with a different login or email. Try any alternate login directly in Higher Logic, and confirm whether Higher Logic is still keyed to the old source contact instead of the surviving one. You cannot see or change any of these keys from Rhythm's Higher Logic screen. If you notice settings in Higher Logic's own administration tools that Rhythm's settings do not explain, they were likely set up directly in Higher Logic, not by this connection.

Rhythm can send more than one contact record with the same email address, but Higher Logic does not allow the same email on multiple accounts. When that happens, Higher Logic keeps the email on whichever account synced first and may put the address in a secondary email field on the other account. That second account can then be unable to receive email from the community.

The Company Name value sent to Higher Logic comes from your organization record, not from an organization name or ID entered somewhere else. It is only sent when the contact is linked to an actual organization record in Rhythm. If no organization record exists, no company value appears in Higher Logic. This value populates automatically when the organization record is created, is not editable in Higher Logic, and is not a field you can query on in Rhythm.

An identifier used for a Higher Logic security-group rule is configured entirely in Higher Logic. Get that value from Higher Logic's own administration tools, not from Rhythm or Rhythm support. Also, do not confuse a membership application's custom field, or the field ID visible in its link, with the identifier a Higher Logic security-group rule needs. They are not the same thing.

Send Extra Demographics

Rhythm sends some information automatically, and you can choose extra contact and organization fields to show in Higher Logic as demographics. Rhythm uses this same profile-image mechanism for organizations. The field Higher Logic's Push API expects for a profile photo, MemberDetails.ProfileImageURL, carries an organization's logo image the same way it carries a person's photo. Under Contact Demographics or Organization Demographics, select Add a Contact Field and choose these values for each row:

  • The Rhythm field to send.
  • An optional demographic type key, which you use when the field should match a demographic Higher Logic already has under a different identifier. For example, giving a field the type key MemberDetails.ParentMemberKey only maps that value into a demographic under that name. It does not send Higher Logic's own ParentMemberKey field, which Rhythm does not generally populate for contacts.
  • An optional demographic type value, which gives the demographic a different display name in Higher Logic than the field's name in Rhythm.
  • Whether the demographic is free-form text in Higher Logic, rather than chosen from a list of values. Rhythm also derives this from the shape of the value being sent. A plain text value is sent as free-form regardless of this checkbox, while a value chosen from a list of options is not, so the checkbox is not the only factor.

When you leave the demographic type key and type value blank, Rhythm defaults the type key to the custom field's ID and the type value to the option's label.

You can add as many rows as you need, and the same field can appear more than once. A row's trash icon removes it immediately without confirmation, so double-check before you remove one.

Warning

Higher Logic expects each demographic value to be a plain string. If you map a field whose value is actually a structured object, such as a communication-preferences field, Higher Logic can reject the entire import with a parsing error. None of your contacts will show updated data until the mapping is fixed. If your organization tracks communication preferences, map only the individual true-or-false values, not the raw preferences object, and send only the values that are actually true. If this kind of mapping is causing failures, remove it and re-test so you can keep configuring the rest of the connection while the field gets fixed.

A custom contact field mapped this way, such as a yes-or-no field, can also drive a Higher Logic security-group rule configured in Higher Logic, in addition to appearing on the profile. Before you map a new demographic, make sure a matching field already exists in Higher Logic's own settings. If it does not, add it there first, then re-sync your contacts so the new field populates. A demographic-based access rule in Higher Logic only works after the demographic is configured there and has data flowing into it from a mapped Rhythm field. An unconfigured or empty demographic cannot drive access in Higher Logic. When an organization has no value in a mapped field, it appears with an empty demographics list rather than a partial one. That does not mean the mapping is broken; it means the source data is empty. If you change a mapped field's type after it is already syncing, such as converting it from text to a list of choices, the new structure is not resent automatically for records that already synced under the old one. Contact Rhythm to request a full resend.

Only the standard fields Rhythm sends automatically and the fields you explicitly map here are sent. A field you have not mapped, such as a biography text field, does not reach Higher Logic even if it is visible elsewhere in Rhythm. Certification status, certification program, and membership add-on data are not available to map here. There is also no built-in way to copy certification data into a contact custom field for this purpose. Committee membership is the supported way to drive access based on something certification-like. There is also no dedicated support today for mapping a credentials field to a Higher Logic designation, or for special company-name mapping logic beyond the Company Name behavior described above. Use the same contact and organization field mapping described here.

Warning

The image URL Rhythm sends for a contact's or organization's photo must be a public link that opens the image directly in a browser. A tokenized or otherwise restricted URL will not work. An incorrectly formatted URL, such as one with an extra path segment, can leave Higher Logic showing its default gray placeholder image instead. If a photo still will not update, check the source file's size. Images in the 2–3 MB range have worked, but Rhythm does not control Higher Logic's exact size limit, so confirm the current limit with Higher Logic if a large image does not come through. A successful photo update can also take a few minutes to appear in the Higher Logic community after you save it in Rhythm. Keep in mind that Higher Logic keeps its own copy of every image Rhythm has ever sent, so clearing or replacing something in Rhythm does not remove a copy Higher Logic already stored.

Tip

A large profile photo file, such as one around 15 MB, can take extra time to appear updated in Higher Logic. If a photo change does not show up right away, that delay does not necessarily mean the update failed to send.

Let People Opt In to Communities

Under Contact Community Opt-In Fields and Organization Community Opt-In Fields, you can let contacts or organizations choose their Higher Logic communities through a field you define in Rhythm. Define a field with the communities you want as its list of acceptable values, then add that field here. Anyone whose field holds a value is placed in the community that matches that value. For contact opt-in fields, you can also make a row depend on active membership, so only members with that field value join the matching community.

To exclude a subset of people from a community, you first need a field in Rhythm that captures the distinction you want to use. Changing or adding a membership tier does not change who lands in a community unless an opt-in field or role also captures that difference. If nothing in Rhythm currently records the distinction, add a custom field before you set up the opt-in mapping.

The membership Directory Opt In/Out field is part of the standard integration and is sent automatically, so you do not need to map it here as an opt-in field. If your community uses Higher Logic's Thrive Marketing without Communities, your Rhythm-managed lists still appear there. Look under Thrive Marketing's Groups area, in Target Groups. You do not need a Communities connection to reach them.

How Community and Security-Group Membership Is Decided

Higher Logic has two kinds of groups. AMS-managed groups are generated and kept current automatically from your Rhythm data, including memberships, organizations, contact roles, chapters, sections, committees, event registrations, and any custom fields you map. Higher Logic-managed groups are created and maintained directly in Higher Logic and do not use Rhythm data. If you see extra or similar-looking groups you did not expect, check whether they were created in Higher Logic rather than by the integration.

A person qualifies for the automatically managed member group when their contact status is active or blank, their membership status is active, and both their termination date and expiration date are blank or in the future. Contact status and membership status are evaluated separately. An inactive membership on an otherwise active contact record still counts as an active contact, even though it does not count as an active member. Every contact syncs to Higher Logic regardless of membership status; membership standing decides which membership-related groups someone is placed in, not whether they sync at all. The ReceivesMemberBenefits group key reflects this same active-membership condition. Membership type is represented in the security groups Rhythm sends, SecurityGroups, rather than as a separate tag field, so look there when you are confirming how a member's type reached Higher Logic. In the payload, IsActive reflects whether the contact record itself is active, while IsMember reflects membership standing. It is derived from the membership's expiration date, so a past expiration date sends false, and a current or future one sends true. Because these fields are separate, an inactive or expired member can still appear with IsActive: true when their contact record itself is active.

Higher Logic does not receive a scheduled feed of expiration dates, so a community or security group does not update just because a calendar date passed. Rhythm sends updated group information only when a relevant record is saved, such as the contact, membership, chapter, or section. That happens automatically for most changes, including a membership moving from Active to Inactive during a drop or terminate billing run. Some automatic changes to a specific record can occasionally miss Higher Logic right away; saving the record again resends its current status and removes it from any group it no longer qualifies for. When a membership has no expiration or termination date and its status is Active, Rhythm sends no end date for it or its related groups. For any other status, including Active Without Benefits, Rhythm sends the date the record was pushed as the end date, and every later update to that same record while it stays in that condition sends that same push-date-based end date again.

Changing how Active Without Benefits memberships are treated, or moving overall Higher Logic access to be based on membership status instead of expiration date, is not a per-account setting. Either change would affect every organization using the integration, so Support cannot turn it on for a single account. Treat either change as a product request rather than a configuration option.

Because Higher Logic recalculates AMS-managed group membership at sync time, a count you see there can briefly differ from what you expect in Rhythm, especially when duplicate records exist. Changes made directly in Higher Logic never write back to Rhythm. If you build a Rhythm query to double-check who should be in a group, remember that the query only mirrors the expected criteria; it does not drive who is actually sent. A sync action started from the Higher Logic side also does not resend anything back into the Rhythm Console. The integration only pushes in one direction.

Certification status, certification program, and membership add-on data do not control Higher Logic community or security-group access. Committee membership is the supported way to drive that kind of access. Rhythm is not intended to work as an inbound activity warehouse for Higher Logic or any other connected community platform. It does not pull detailed engagement data back from Higher Logic beyond the limited summary information some integrations bring in.

Synced chapter and committee group names always end in the word "members." That wording is hard-coded and cannot currently be changed. If you rename a synced group manually in Higher Logic, the next sync appends "members" again.

Warning

Rhythm does not delete data from your Higher Logic account, and it does not deactivate or remove a person or organization there when their status changes in Rhythm, when they are deleted in Rhythm, or when they are merged into another record. The integration only pushes updates forward. If a record is deleted or merged in Rhythm, delete or merge the corresponding record in Higher Logic yourself so it does not keep receiving pushes it should not receive. Higher Logic's API does not support deleting a record through the integration, including malformed records the integration may have created in the past, so that cleanup has to happen directly in Higher Logic. After a merge, the deleted source contact's identifier can still matter because Higher Logic may still reference it. Watch for lingering references tied to the old record if something looks off after a merge.

If you need to place an unusual, one-time group of people into a community, such as migrating an old speaker list into a new community instead of building it from current Rhythm data, make that ad hoc bulk change directly in Higher Logic. It falls outside what the mappings on this page can do. Similarly, when an organization has a membership, Higher Logic's community directories list the organization record rather than the individual person tied to that membership, and there is no setting on this page that changes that.

Some accounts use a workaround to exclude duplicate records by placing them in a dedicated Higher Logic security group that is itself excluded from the sync. This only works if those same records do not also belong to another security group that is still allowed to sync. If they do, they will still be sent through that other group.

How Event Registrations Control Community Access

Higher Logic's Push API has no place for event registration records themselves, so Rhythm does not send registrations directly. Instead, for each event you send to Higher Logic, Rhythm creates a community group for that event's attendees. A contact's event registration in Rhythm grants access to that group, so the registration is the mechanism, not a separate data feed. This access is separate from whether the person is a member. Rhythm also sends the person's current membership standing and the groups your mappings place them in, so their Higher Logic access follows what is configured and current in Rhythm at each push, not a one-time snapshot.

Speaker access to an event's community works the same way, through speakers added to that specific event in the Rhythm Console. A prior event's speakers are not carried into a new event's community automatically, so add the relevant people as speakers on the new event, and they will appear in that event's community. An event created by cloning another event does not automatically inherit the original event's Higher Logic sync history. If a cloned event is not appearing in Higher Logic, edit and save it in Rhythm to trigger the initial push. When Rhythm creates an event in Higher Logic, Higher Logic's own guidance says it needs at least a meeting identifier, title, type, begin date, time zone, and active status to create the event successfully.

A registration's Higher Logic payload includes an end date only when the registration itself is not active. An active registration is sent without one.

Higher Logic uses the event detail and registration URLs exactly as Rhythm sends them. It does not rewrite or rebuild them. If those links point to the wrong domain, such as a test-site address instead of your live member portal, the event links in Higher Logic will be wrong too. Correcting an individual link directly in Higher Logic only fixes that one event, because newly created or resynced events keep using whatever domain Rhythm is configured to send.

If an attendee or their event registration does not appear in the event's Higher Logic community as expected, edit and save the registration or the related contact record. That resends the data and often resolves the issue.

Test Before You Go Live

Set a test contact on the connection before you send your whole community. While a test contact is set, only that contact's changes reach Higher Logic. This lets you confirm your demographic and community mappings before you clear the test contact and resume sending everyone.

Tip

Impersonating your test contact from the Console is not a reliable way to test the Higher Logic experience. Sign in through the portal with the test contact's own credentials instead, because impersonation does not carry through to the Higher Logic community context.

Higher Logic updates happen when a relevant Rhythm record is saved, such as a contact, membership, or committee membership. They do not run on a schedule tied to specific calendar dates. Saving a contact record, even without changing anything, resends that contact's current data, which makes it useful when you need to manually retrigger someone's sync while testing or troubleshooting. Re-saving a membership or committee-membership record works the same way. Because sends are triggered by saves, a push can occasionally carry a value from just before the most recent change if an earlier save did not fully process. Saving the record again refreshes it.

Saving the Higher Logic connection itself resends every contact and organization, not just the records affected by your change, when you change the account code, API key, test contact, Contact Role Communities: setting, or any contact or organization community or demographic mapping. Re-saving with no actual change does not trigger this. Clearing the test contact has the same effect: it lifts the send restriction and starts a full sync of everyone. A full push like this, including the first full push of all records when you are ready to move beyond the test contact, is generally something Rhythm's team starts on request rather than something you trigger yourself from the Console. It can take a few hours, depending on how much data your account has.

A test push can occasionally fail on its first attempt because of an internal processing hiccup, not because anything is wrong with your setup. If your test record does not show up right away, try resending it once, such as by re-saving it, before you troubleshoot further.

Sync Timing, Delays, and Recovery

Higher Logic processes incoming updates through a shared queue across every connected community, so timing can vary. A full push usually completes within a few hours, but during a busy period it can take much longer. Rhythm's logs can show every intended record as sent while Higher Logic is still working through a backlog, sometimes for a day or two, because failed deliveries are retried automatically rather than dropped. A sandbox refresh can create the same kind of backlog. Records queue up and may look like they have not been sent yet, even though they are only delayed. Even after Rhythm sends updated membership status, Higher Logic's display can take a few days to fully refresh everywhere it appears. If a long time has passed and records still seem stuck, contact Support. Support can check delivery logs to confirm whether Rhythm sent them, or resend a specific record to confirm Higher Logic receives it.

A successful response from Rhythm's push to Higher Logic, an HTTP 200, confirms only that Higher Logic accepted the request. It does not guarantee the record, attendee, or update is immediately visible in the Higher Logic community. Engineering has also seen cases where section or committee membership was present in a contact's outbound payload even though that contact was reported missing from the community downstream. If a record you expect is still missing after you confirm Rhythm sent it successfully, the next step is usually to check with Higher Logic directly. The delay or issue may be on their side, including an outage or slowdown that is not visible from Rhythm. A large contact resend can also push organization updates behind a backlog of contacts, so organization demographics can look delayed even when nothing failed.

If someone is missing from a committee-based community despite having the right role, compare their outbound payload's group entries with another committee member who does have access. A missing or different group entry, not the underlying committee assignment, is usually the actual cause.

If Higher Logic shows people as unexpectedly dropped, or with an old expiration date, even though they are active in both systems, first check whether the Higher Logic sync is running for your account. If it is not running, nothing you fix in Rhythm appears until it starts again. If records keep getting deactivated in Higher Logic after you have confirmed the Higher Logic connection is stopped or paused, that rules out Rhythm's authentication as the source. Something else in Higher Logic is triggering the change. There is usually nothing you can do on your end to prevent this kind of stale-sync issue from recurring, so contact Support. Support can sometimes run an administrative process, or start a resync, to correct affected records and reactivate records that were dropped incorrectly, including cases where deactivated records blocked members from logging into the community. Expect status changes to take effect only after that resend or resync fully finishes, so avoid checking too early. After a fix, it is often worth verifying the result directly in Higher Logic, since Rhythm may not otherwise have visibility into the third-party side. If deactivation continues and you suspect the calls did not originate from Rhythm, gather a few example records and confirm with Higher Logic whether the deactivation requests came from Rhythm before assuming the fix belongs on this side. Even when affected records' end dates look correct in Rhythm, the mismatch is not always fully explained.

If a committee member's term has ended but they still show up in that committee's Higher Logic community, running your normal drop process for expired committee members is usually the fix. Without that process, the change might not reach Higher Logic. To keep former members out of Higher Logic more generally, you can mark their contact record inactive or use a mass update to change contact status for a group of people instead of relying on membership expiration alone.

Contacts who have never signed in to the Rhythm portal are not excluded from the Higher Logic sync for that reason alone. They still sync as long as everything else about their record qualifies them. In a few cases, missing Higher Logic contacts have turned out to be people who had never logged in, so it is worth checking portal-login history alongside more common causes when one specific person is missing.

If contacts linked through a flowdown membership are not reflecting correctly in Higher Logic, confirm the flowdown membership has an expiration date and consider running flowdown maintenance. That has resolved similar cases, though the exact cause of any single expiration-date discrepancy is not always confirmed. If Higher Logic's community counts do not match what you expect from Rhythm, Higher Logic may still be showing a count it cached from an earlier sync rather than your current Rhythm data. If you notice syncing you did not expect from a sandbox account, Support can review the outbound payloads and compare which records actually synced against your original list.

When you troubleshoot a data discrepancy in Higher Logic, such as a duplicated value, blank field, or unexpected count, start by identifying which system owns that value. It could be a Rhythm integration setting, a Rhythm saved query, or something configured directly in Higher Logic. Compare the value on the Rhythm record with what is stored in Higher Logic's backend or system-user data. That helps show whether a stale value is only in the user-facing profile or already baked into the synced data. If Higher Logic's error message does not identify which field or character caused a parsing failure, Rhythm can review the exact payload it sent and share it with Higher Logic so their team can pinpoint the issue. If committees or positions show as unreadable ID-like values instead of their names in the Console, that can also explain why related records do not display correctly after a sync completes.

If failures are intermittent and hard to reproduce, periodically re-save a handful of representative records and check Higher Logic afterward. This is a reasonable way to monitor sync health between full pushes.

Dependencies and Precedence

The default event time zone does nothing while Do not send events is ticked. Rhythm stores the demographic mapping lists whether or not Do not send organizations is ticked, but it does not send anything from the organization list while that option is on.

Change Impact and How to Revert

You cannot remove a Higher Logic connection from the Console after it is saved. To change any setting, including the account code and API key, open the Higher Logic screen again and save your changes. The new values replace the previous ones.

Tip

There is no toggle to pause the connection. If you need to stop the sync temporarily, you can enter an incorrect API key to break the connection on purpose. Save a copy of your real key first so you can restore it.

Permissions

Anyone who can sign in to the Console and open System & Security can view and change this connection, including its credentials. There is no separate role-based permission for the Higher Logic connection. Higher Logic access itself is controlled at the account level. If that access is off for your account, saving is refused with a message that your account does not have access to Higher Logic. Contact Rhythm to have it restored.

Validation and Errors

You must enter the account code and API key before you can save. Every demographic or opt-in row you add must also have a field chosen before you can save. Contact Role Communities: accepts only one of its three listed options.
