However you register as an exhibitor, you choose your space in the same step. You may buy booths yourself in the Portal, or association staff may process the registration for you in the Console. This article explains how to choose specific booths, choose booth types, or select booths on a floor plan.
Before You Begin
Prerequisites
- You must already be in an exhibitor registration for an event, on the step where you select your space. This step is part of Buy Booths for Your Organization, or part of the registration your association's staff processes for you.
- You do not choose the selection method. Your association's registration process offers exactly one of the three options below.
Choose Specific Booths from a List
- Under Select one or more booths:, choose a booth from the list. Each option shows the booth name and fee, such as
Booth #1000 ($1,600). - Select Add Another Booth to add another row, then choose another booth.
Choose Booths on the Floor Plan
If the event has a floor plan and your association uses it for booth selection, choose your space by clicking directly on the plan instead of choosing from a list. Booths that are unavailable to you cannot be selected. If the event has more than one show floor, the booth choices are not filtered to the floor plan you were browsing, and the selector does not clearly identify which floor plan they come from. Confirm that you are choosing a booth on the floor you intend.
Choose Booth Types and Quantities
Some registration processes do not let you choose a specific booth. Instead, you choose the kind of booth space you want and how many you need.
- Under Booth Type:, choose the type of booth space you want.
- Under Desired Quantity:, enter how many of that type you want.
- Select Add a Booth Type to My Order to add another type.
Result
No specific booth is assigned to you at this point. The association's staff assign the actual booths to your exhibitor record later.
Tip
If your association limits how many contacts of a certain type your exhibitor record may have, that limit may not be enforced while you choose booth types this way, even though it is enforced when you choose specific booths. If you notice more contacts of a restricted type than your association's limit allows, let them know.
What Happens When You Move On
Result
When you choose specific booths, Rhythm holds them for your organization while you continue through checkout, so no one else can take them during that time.
If a Booth Is No Longer Available
If any booth you chose is already reserved, or is being held by another organization whose hold has not ended, you cannot move on to checkout. The message names the booths causing the problem, so you can go back and choose different ones.
Will an Abandoned Booth Ever Be Freed?
If another organization started buying a booth but did not finish, that booth is held only for a limited time. After that time passes, a different organization can buy it. However, the booth record, list, or floor plan may still show the booth as held until another checkout takes it. This means a booth that looks unavailable on the plan or in a list may be available again after the earlier hold has ended. The checkout step, not the display, decides whether the booth is truly available.
