The contact’s Rolodex contact role controls whether they can view or buy sponsorships in the Portal. For example, you can let a Billing Contact view sponsorships without buying them, while an Executive Director can do both. This article shows you where to set those permissions.
What It Controls
For each active contact role in your Rhythm account, and for all contacts at once, you can turn on or turn off:
- Viewing your organization's sponsorships in the Portal.
- Purchasing sponsorships in the Portal.
Viewing and purchasing are separate permissions. If a role needs to do both, select both options.
These contact-role permissions control general Portal access only. To block a specific contact or organization from buying a specific sponsorship opportunity online, turn on Purchasing Eligibility on that opportunity. Then use Advanced Rules & Logic to target Contact Name or Organization Name with an operator such as does not equal for one name or is not in list for several. You cannot set this eligibility once for an entire application process; you configure it on each opportunity individually.
Where to Find It
Go to Sponsorship & Benefits › Setup › Contact Roles. Rhythm opens Contact Role Permissions Settings, where you’ll see one row for each active contact role and one row for all contacts, regardless of role.
Prerequisites
- You need the permission your administrator grants for sponsorship settings.
- Your Rhythm account's base Sponsorship settings must be saved at least once. Until then, this page shows a message asking you to complete the base settings first, with a link to open them.
Set Permissions by Contact Role
- Go to Sponsorship & Benefits › Setup › Contact Roles.
- For each contact role that needs access, check the box that lets the role view sponsorships, purchase sponsorships, or both.
- To give a permission to every contact, regardless of role, use the all-contacts row at the top of the matrix.
- Select Save Changes.
Result
The toast Settings updated successfully confirms that your changes were saved. Contacts whose roles include view or purchase permission can use the matching Portal pages the next time they sign in or reload.
Warning
Only active contact roles appear in this matrix. If you do not see a role you expected, check that it is active in your Rhythm account's contact roles setup.
Dependencies and Precedence
- These permissions apply only in the Portal. They do not affect what staff can see or do in the Console.
- This page requires your base Sponsorship settings to exist first. See Default Checkout Settings for Sponsorships if you have not completed that setup yet.
- A contact role that this page still names cannot be deleted from your contact roles setup. If you no longer need the role, clear its permissions here, save, and then delete the role.
- Whether these Portal viewing and purchasing pages are offered on your Portal at all is a separate setting. Use Sponsorship Portal Features and Page Blocks to confirm that the page is placed and working the way you expect.
Change Impact and How to Revert
- Turning a permission on or off takes effect the next time the affected member's Portal session checks it, typically on their next page load or sign-in. It does not immediately change what they could already see in an existing browser session.
- You can change any of these permissions back at any time.
- Clearing every box for a role, then saving, removes that role's row the next time you view this page with a fresh permission grid. Rhythm may briefly keep a row with everything turned off, so wait a moment and reload if you do not see the change you expect.
Warning
Deleting a contact role that this page's permissions still name is refused. If you need to delete a role, come back here first, clear its boxes, save, and then delete it from your contact roles setup.
Permissions
You need the permission your administrator grants for sponsorship settings to view or change contact role permissions. Portal members cannot change these settings themselves; any attempt is refused.
Validation and Errors
If your Rhythm account's base Sponsorship settings do not exist yet, this page shows Please update base sponsorship settings before setting up contact role permissions. with a link to complete them. If the settings fail to load for another reason, the page shows Unable to load settings. If a save fails, the toast Unable to save settings appears and your changes are not applied; try again.
