A status reason explains why staff chose a review status for a requested opportunity on a sponsorship application, such as why an opportunity was rejected. This article explains how to choose, deactivate, and understand status reasons. You cannot create a brand-new reason in the Console today.

What It Controls

Each requested opportunity on an application has its own review status: Draft, Under Review, Approved, or Rejected. You can also add a status reason to explain that status. Status reasons are shared across your Rhythm account, so any active reason can be selected for any review status, even if the reason was written for a different status.

Prerequisites

You need the permission your administrator grants for application setup to see and choose status reasons while editing an application.

Choose or Change a Status Reason

  1. Open the application you want to update from your account's application search.
  2. In the Opportunities table, find the requested opportunity you want to explain.
  3. Choose a value from the Status Reason column, or clear it to leave the opportunity with no reason recorded.
  4. Select Save Changes.

Result

The reason you choose is saved with that requested opportunity and appears wherever the application's review status is shown.

Warning

Status Reason offers every active reason in your Rhythm account, not only the reasons written for the status you are setting. Rhythm does not filter the list by the opportunity's current status, so double-check that the reason you choose matches the decision you are recording.

Manage Existing Status Reasons

Status reasons are defined once and used across every application. From the Console, you can:

  • Deactivate a reason so staff no longer see it on new or edited applications. Applications that already use the reason keep it.
  • Delete a reason that no application currently uses.

Warning

You cannot delete a status reason that any application still names. Rhythm refuses the delete until every application that refers to the reason is changed to a different reason or has its reason cleared.

You cannot create a brand-new status reason in the Console today. You also cannot change an existing reason's name or the review status it applies to in the Console. These actions require an integration built against Rhythm's API. If your Rhythm account needs additional status reasons, contact Rhythm Support or your implementation partner.

Dependencies and Precedence

  • A status reason applies to one of the four review statuses: Draft, Under Review, Approved, or Rejected. The Console does not enforce that pairing when staff choose a reason, as noted in the warning above.
  • Status reasons are separate from application processes. A reason is not tied to one process and is available no matter which process the application was submitted through.

Change Impact and How to Revert

  • Deactivating a reason is reversible. Reactivate the reason to offer it again. Applications keep the reason they already had while it was active.
  • Deleting a reason is permanent and cannot be undone. Rhythm refuses the delete while any application still names the reason, which helps prevent losing a reason that is still meaningful to your records.

Permissions

You need the permission your administrator grants for application setup to view, choose, deactivate, or delete status reasons.

Validation and Errors

Choosing or clearing a status reason on an application has no separate validation. It saves with the rest of the application. If you try to delete a reason that an application still names, Rhythm refuses the delete and the reason stays in the list.
