Some optional benefits cost extra. For example, a sponsor might pay an additional amount for a premium booth location on top of the opportunity price. Rhythm handles that extra charge through a separate sellable record called an add-on product.
This article explains how to create, change, clone, and delete add-on products. You set the amount charged on the opportunity benefit, not on the add-on product.
What It Controls
An add-on product holds the accounting details for a benefit’s extra charge, including its name, permanent identifier, business unit, and the product configuration settings your account uses for sellable products. An add-on product has no price of its own. The price field is not available on the add-on product form because the charge always comes from the Additional Cost and, if used, Additional Cost for Members fields on the benefit. See Opportunity Benefits and Optional Benefit Groups for where you set that charge.
Staff choose an add-on product when they select This benefit has an additional cost on an optional benefit in an opportunity.
Where to Find It
Go to Setup › Add On Products. This opens Manage Add On Products, where you can see your account’s add-on products, select Create Add On Product, and use the clone, edit, and delete icons on each row.
Prerequisites
You need the permission your administrator grants for add-on product setup. Without it, this page, or its create, edit, and delete actions, does not open.
Create or Edit an Add-On Product
- From Manage Add On Products, select Create Add On Product, or select the edit icon on an existing product.
- Enter a Name. Rhythm suggests a permanent identifier from the name, and you cannot change that identifier after your first save.
- Choose the business unit the product’s revenue should book to.
- Set the product’s other configuration options. These are the same accounting and commerce settings your account uses for sellable products, such as status, purchase and pricing behavior, and any bulk or portal options that apply. Review these settings with your finance or commerce configuration if you are unsure which ones matter for an add-on product. If your account uses custom fields on add-on products, fill them in here too.
- Select Save Changes.
Result
The product appears in Manage Add On Products and becomes available in the Add On Product list on any optional benefit’s charge fields.
To use an existing product as the starting point for a new one, select the clone icon on Manage Add On Products. The new product starts with the source product’s settings, but it still needs its own name and identifier.
Delete an Add-On Product
- From Manage Add On Products, select the delete icon on the product you want to remove.
- Confirm the deletion.
Warning
You cannot delete an add-on product that any opportunity's optional benefit still names. If you try, Rhythm refuses the delete and keeps the product in the list. Remove the product from every optional benefit that charges through it first, or choose a different add-on product for those benefits.
Result
A product is removed from the list only when no optional benefit points to it. Orders already generated from sponsorships that used the product keep their own record of the product on the order line, no matter what happens to the add-on product afterward.
Dependencies and Precedence
- Optional benefits choose from every add-on product, active or inactive. If you deactivate a product instead of deleting it, staff can still select it on a benefit; deactivating alone does not stop new benefits from using it.
- The price always comes from the benefit. Changing an add-on product’s settings never changes the amount a sponsor is charged, because that amount lives on the benefit’s Additional Cost and Additional Cost for Members fields.
- Opportunity Benefits and Optional Benefit Groups covers where you choose an add-on product and set its charge on a benefit.
Change Impact and How to Revert
- Renaming an add-on product is safe because benefits refer to the product by its identifier, not its name.
- Changing configuration settings on the product does not retroactively change sponsorships or orders already created from it.
- Deleting a product is refused while any optional benefit uses it, which limits the risk of accidentally breaking existing benefit configuration. If you no longer want a product offered for new benefits, consider deactivating it instead of deleting it.
Permissions
You need the permission your administrator grants for add-on product setup. There is no separate permission recorded for creating, cloning, editing, or deleting within that setup area.
Validation and Errors
If you try to save an add-on product without a name, Rhythm refuses the save. If you try to delete a product that an optional benefit still names, Rhythm refuses the delete and keeps the product in the list. The message may not name which opportunities use it, so check the opportunities you expect to be affected, or open the product’s relationships from its record identifier menu.
