A coupon defines the discount. A coupon code is the text an applicant enters at checkout to receive that discount. This article explains how to create and manage coupon codes in Awards setup.
What It Controls
Each coupon can have one or more coupon codes. Each code has its own name, usage limits, active dates, and eligibility restrictions. Those settings are not copied from the coupon, so you set the limits and dates on each code separately. The discount amount always comes from the coupon the code points to.
Where to Find It
Open Awards & Nominations › Setup › Coupons, then open the coupon you want to add a code to. From the coupon’s page, you can create a new code and see, open, edit, or delete existing codes that point to that coupon without leaving Awards setup.
Prerequisites
You need one permission to create a code and a broader permission to view, open, edit, or delete an existing code. Both permissions are included in the Awards Administrator policy. Staff without these permissions do not see the coupon code screens.
The Settings
The code form has not had a full label review yet, so the settings are described here in plain language:
| Setting | Effect |
|---|---|
| Code identifier | The text the applicant enters at checkout. It must be unique across every coupon code in your account, no matter which coupon it belongs to. |
| Usage limits | How many times one applicant, one organization, or everyone combined can use the code. |
| Active dates | The date window when applicants can redeem the code. |
| Restrictions | Eligibility criteria that narrow who can use the code. |
| Active flag | Whether the code currently gives its discount. |
Dependencies and Precedence
- A code is always tied to one coupon. To offer the same discount under two different codes with different limits, create two separate codes on the same coupon.
- Turning off a coupon stops all of its codes from giving a discount, regardless of each code’s active flag. A code’s active flag matters only while its coupon is turned on.
Change Impact and How to Revert
Changes to a code’s limits or dates take effect immediately for any checkout after the change. They do not affect orders that are already complete. Deleting a code removes only that code; the coupon it belonged to and any other codes pointing to the same coupon are not affected. There is no undo for a deleted code. If you need the same identifier again, recreate the code, subject to the usual uniqueness check.
Permissions
Two separate permissions control these screens: one for creating a new code, and another for opening, editing, or deleting a code that already exists. Both are included in the Awards Administrator policy. See Awards Staff Permissions and Policies for what each ready-made policy grants.
Validation and Errors
A code identifier must be unique across every coupon code in your account. If you try to save a code with an identifier that is already in use elsewhere, Rhythm refuses the save.
