An application fee is the amount applicants pay when they apply through a paid award process. In Rhythm, the fee is a full product record, which means it can use prices by currency, member pricing, and the same product settings you use for anything else your account sells.

What It Controls

Each fee belongs to one award. After you create a fee, you can choose it on any of that award's paid application processes. Each process uses one fee, so create separate fees and processes when you need more than one price.

For date-based pricing, create one process for the early price and another for the later price. Set each process's open and close dates in Application Options, assign the matching fee, close the lower-fee process when the early period ends, and open the higher-fee process right after.

The Fee field on an application's Application 360 page shows the fee product tied to the application, not the amount charged. When the application has no fee product, this field should be blank, regardless of the currency in your Rhythm account.

Where to Find It

Go to Awards › [award name] › Setup › Applications › Fees.

Create or Edit a Fee

  1. From Manage Application Fees, select Create Application Fee, open an existing fee to update it, or use Clone to start from a copy.
  2. Give the fee a Name:. Include the award name if it will help you recognize the fee later, because fee names appear in financial reports without the award name. For example, "2027 Employee of the Year - Application Fee" is clearer than "Application Fee" by itself.
  3. Choose the fee's business unit and set its price, using the same product setup you use for anything else your account sells.
  4. Set the fee Status: to active so processes can choose it, or inactive to hide it from new processes without deleting it.
  5. Select Save Changes.

Result

Rhythm saves the fee under the award whose setup page you had open. You can now choose it on any of that award's application processes.

Warning

The fee is always filed under the award whose setup page is open when you save it, even if it was previously saved under another award. If you open and save a fee from a different award's setup page, Rhythm moves the fee to that award.

Prerequisites

The order form for a paid application process must include a step to collect order details and a step to confirm order details. If either step is missing, an applicant can complete checkout with a payment method on file, but the order can still end with an open balance and no payment applied.

Order and Turn Off Fees

Manage Application Fees shows an award's fees in the order you arrange them. Drag a row to move it to a new position.

Turn a fee's Status: off to stop it from appearing as a choice on new or edited application processes, without deleting it. Turning a fee off does not remove it from processes that already use it, so those processes keep charging it.

Delete a Fee

  1. Open Manage Application Fees for the award.
  2. Select Delete on the fee's row.
  3. Confirm the warning that the deletion cannot be undone.

Warning

Rhythm will not delete a fee while any application process still uses it, whether that process is active or inactive. Remove the fee from every process, or delete those processes, before you delete the fee. You cannot restore a deleted fee from Awards, and deleting the award itself also deletes its fees.

Who Can Do This

If you can open the award's setup pages, you can create, edit, order, and delete its application fees.
