As a review team administrator, you can use the Portal’s administrator view to see every submission in the rounds and buckets your teams cover. From there, you can filter the list and open a submission to see who reviewed it.
Prerequisites
You must have the administrator role — administrator or administrator/reviewer — on at least one team, for at least one round-and-bucket pair, in the review space.
Team roles separate review work from administrative work. The Reviewer role can view submissions and submit reviews, but cannot take administrative actions such as advancing rounds, changing bucket assignments, or changing review status. The Administrator role can take those administrative actions, but cannot submit reviews. Administrator/Reviewer can do both.
Switch to the Administrator View
- Go to Reviews & Judging and open the space you want to oversee.
- Switch to the administrator view.
Result
Rhythm shows every submission in the round-and-bucket pairs your teams administer, along with any instructions the space’s administrators wrote for team administrators.
When administrator instructions are turned on in review settings, the text explains what administrative team members are expected to do. It can help with responsibilities such as chairing a round or resolving a bucket. Only team members with administrative permissions see these instructions; reviewers without an administrator role do not.
Rhythm remembers whether you last used the reviewer view or administrator view for a space in your browser, then opens that view the next time you return. If you only have a reviewer role on every team in the space, Rhythm opens the reviewer view instead.
Find and Filter Submissions
The administrator list shows each submission’s name, submitter, bucket, round, average score, recommendation, and status. Use the filters above the list to narrow the submissions by bucket, round, status, or part of the submission or submitter name. The filters search only the submissions already loaded on the page; they do not ask Rhythm to load a new list. For the same reason, the bucket and round dropdowns only include buckets and rounds that appear in your loaded list. If a bucket has nothing in it for you to see, it does not appear as a filter option, even if it exists elsewhere in the space.
Tip
When a round uses blind review, Rhythm hides the submitter’s name from this list and from the name filter, even though both normally show it. This keeps reviewers and administrators who are submitting a review from seeing who made the submission. That hiding applies to your access as a reviewer. If you also have administrator access and use the administrator view, you can still see the submitter because blind review does not hide identity from the administrator view itself.
Open a Submission and See Its Reviewers
Select a submission’s name to open it. You see the submission’s content, current review bucket, round, and status, followed by the assigned reviewers and their scores and recommendations after they submit them. You can open a submission from a bucket that another one of your teams administers, even if you were browsing a different bucket, because administering any team in the space lets you open any submission there.
Tip
The reviewer list you open here is read-only. To assign, change, or remove a reviewer, see Manage Reviewers on Your Team's Submissions; to move the submission or change its status, see Move a Submission or Change Its Status.
Warning
This page shows a submission’s reviewer list only when the submission status is Submitted. If a submission has been moved to Alternate, Approved, Declined, Withdrawn, or Draft, the reviewer list is empty here even though reviews still exist. If you need to see reviews for a submission in one of those statuses, look at the submission’s review history or ask Support.
If Something Goes Wrong
| What you see | What it means and what to do |
|---|---|
| The list never finishes loading | You may only have a reviewer role, not an administrator role, on teams in this space, so the administrator view has nothing to show. Switch to the reviewer view, or ask an administrator to check your team roles |
| A submission's reviewer list is empty even though reviewers were assigned | Check the submission’s status. This list shows reviewers only when the submission’s status is Submitted |
| Unable to load submissions | The load failed. Reload the page; if it keeps failing, contact Support |
