Applications sometimes need a correction after someone submits them, such as a wrong date, an added note, or a benefit the sponsor no longer wants. An application may also have been entered by mistake and need removal. This article explains how to edit an application’s details and requested opportunities, and how to remove an application based on whether it has an order.
When to Use This
Use editing when you need to correct an application’s number, date, notes, custom fields, a requested opportunity’s review status and reason, or the optional benefits chosen within a group the sponsor already selected. Editing does not change the request itself, so you cannot add or remove a requested opportunity, change its quantity, or change the sponsor, contact, or application process here. If any of those items need to change, the sponsor’s request has changed, which generally means creating a new application instead of editing this one.
If an application was submitted under the wrong organization, you can't reassign it yourself through editing or a bulk update. Contact Support — they may be able to move the application and its related order, invoice, and payment to the correct organization for you.
Prerequisites
You need edit permission for applications. Staff with view-only access can open an application, but they cannot open the edit page.
Edit an Application's Details
- Open the application (see Find and Open Sponsorship Applications), then select Edit Application.
- Correct the Number: and Date: as needed. Both fields are marked as required on this page, but you can save the application without filling them in. The markers are visual only, and Rhythm does not check whether another application already uses the number you enter.
- For each requested opportunity, choose a Status and, optionally, a Status Reason. You can move from any status to any other status here, and Rhythm does not check whether the change makes sense. Rhythm shows every active status reason in your account no matter which status you choose, so double-check that the reason applies.
- To change optional benefits, select Edit Benefits on that opportunity’s row, adjust the choices in the dialog, and select Save Changes in the dialog.
- Update the Notes and any of your account’s custom fields for applications as needed.
- Select Save Changes.
Result
A confirmation message appears, and you return to the application’s detail page with your changes shown.
Warning
Setting a requested opportunity’s status to Approved here does not create a sponsorship or send an activation email. It only stores the word “approved.” To create a sponsorship, activate the request from the application’s detail page. See How Application Review Status Works for what this means for the Activate button after you set a status this way.
Warning
If you change benefits through the Edit Benefits dialog and leave this page without selecting Save Changes, Rhythm loses that benefit change without warning. Rhythm does not treat a benefits-only change as an unsaved change, so it will not warn you before you navigate away. Changes to any other field on this page do trigger an unsaved-changes warning, but a benefits-only edit does not. Always select Save Changes after using the benefits dialog, even if nothing else on the page looks different.
About Editing Benefits
The Edit Benefits dialog only lets you change which benefits are selected within a group the sponsor already chose from. It cannot add a group they skipped or remove a group entirely. The dialog also does not check the group’s minimum or maximum number of choices, so you can leave a group empty or select more benefits than the opportunity normally allows. Editing benefits here never changes an order that was already placed, so if you add a benefit with an extra charge, the sponsor is not billed for it through this change.
Delete an Application
Prerequisites
You need edit permission for applications, and the application must have no order behind it. When an application has an order, Rhythm offers Cancel Application Order instead of a delete option. See below.
- Open the application’s detail page.
- Select Delete Application, or open Application Options and select Delete this Application.
- Confirm the deletion when prompted.
Result
The application is permanently removed.
Warning
You cannot undo deletion from within Sponsorships. Only your account’s audit history retains the application’s last saved state.
A downstream record, such as a sponsorship already created from this application through another path, might also block deletion. This article can only confirm that an application must have no order before you can delete it. If deletion fails unexpectedly on an application you believe has no order, first check whether a sponsorship is still linked to it.
Cancel an Application's Order
When an application has an order behind it, Delete Application is not offered. Cancel Application Order appears in its place on the same detail page. Use this control to withdraw an ordered application by cancelling the order, rather than deleting the application record itself.
Warning
Cancelling an application’s order does not automatically update the review statuses on its requested opportunities. A requested opportunity that was Under Review when the order is cancelled stays Under Review afterward, even though it no longer has a live order behind it. After you cancel an order, go back and update the requested opportunity’s status so the application does not sit indefinitely as if it is still waiting on a decision.
