Each opportunity a sponsor requests on an application has its own review status: Draft, Under Review, Approved, or Rejected. Because the status belongs to the requested opportunity, not the application as a whole, one application can include opportunities that are ready to sell right away and others still waiting for a decision.
The Four Statuses
Every requested opportunity starts as Draft when you create an application, unless you explicitly supply a different status at creation. On the Edit Application page, Rhythm does not require a specific order for status changes. You can change any status to any other status, including moving an opportunity back to Draft after it has already been Approved.
The exception is Activate on the application detail page. This action checks the requested opportunity’s current status before it works, and it only applies when the opportunity is Draft or Under Review. After an opportunity is Approved or Rejected, the Activate control no longer appears for that row because activation is only available in those first two statuses.
Only these four status values are accepted. If you try to save a different status, Rhythm refuses the change.
Warning
Setting a requested opportunity’s status to Approved by editing the application is not the same as using Activate. Editing only stores the word “approved”; it does not create a sponsorship or send an email. Activation is the only action that creates a sponsorship. If you set an opportunity to Approved by editing it instead of activating it, the sponsor is marked as approved without a sponsorship, and the Activate button disappears for that row because activation is no longer offered for an Approved opportunity. If this happens, set the status back to Under Review or Draft to bring the Activate control back for that row.
Why an Application Shows "Under Review"
Every application also has its own under-review flag, which is a yes-or-no marker used to find applications that need attention. You do not set this flag directly. Rhythm recalculates it every time the application is saved, based on the requested opportunities on that application. If any requested opportunity is Under Review, the whole application is flagged as under review. If every requested opportunity is Draft, Approved, or Rejected, the flag is false, even when some of those approvals or rejections just happened.
That is why an application with three requested opportunities, such as two approved and one still waiting, shows as under review. It only takes one Under Review opportunity.
Status Reasons
You can add a status reason to a requested opportunity to explain why it has its current status, such as a specific reason for a rejection. Status reasons come from a list defined for your Rhythm account. If your Rhythm account has not defined any status reasons yet, there is nothing to choose from because reasons are not created from this screen.
On the Edit Application page, the reason list shows every active reason defined for your Rhythm account. It is not filtered to reasons that match the opportunity’s current status. Because Rhythm does not stop you from choosing a reason that does not fit the status you are setting, choose the reason carefully.
Tip
Although a status reason’s own description may suggest that Rhythm automatically picks the best reason whenever a status changes, that does not happen. A requested opportunity keeps its existing reason until you or another process explicitly changes it. If you want the reason to match the current status, choose or update it each time the status changes.
