Most entitlements are granted automatically when a customer buys something that includes one. Use this article when you need to manage an entitlement yourself, such as granting a right without an order, correcting the quantity or expiration date, or removing an entitlement from a customer record.

Prerequisites

  • Entitlements must be turned on for your Rhythm account before the Entitlements tab appears on a contact, organization, or order page.
  • At least one entitlement type must already exist before you can add or correct an entitlement.

Add an Entitlement by Hand

  1. Open the customer's contact or organization record, then open the Entitlements tab.
  2. Choose Add Entitlement.
  3. Choose a Type: from the list of active entitlement types.
  4. Enter a Quantity. The quantity starts at 1.
  5. Set an Expiration: date if the right should end, or leave it blank if the right never expires.
  6. Add any Notes/Comments:.
  7. Choose Save Changes.

Result

The entitlement is created for that contact or organization without a linked order. Because no order granted it, the hand-added entitlement does not appear on any order's Entitlements tab.

Tip

You can add an entitlement by hand only from the contact or organization record. An order's Entitlements tab shows and lets you correct only the rights that order granted, so orders do not have an Add Entitlement control.

Correct an Entitlement

  1. Open the Entitlements tab on the contact, organization, or order page.
  2. Select the pencil icon on the row you want to correct.
  3. Change the type, quantity, expiration, or notes.
  4. Choose Save Changes.

Result

The entitlement is updated with the values you saved. You can change every field, including the type, on an entitlement that an order granted; Orders & Inventory does not limit corrections to hand-added rights.

Warning

Quantity has no minimum, so Rhythm accepts and saves zero and negative numbers. A negative quantity lowers the customer's total for that entitlement type, so double-check the number before you save.

Remove an Entitlement

  1. Open the Entitlements tab on the contact, organization, or order page.
  2. Select the bin icon on the row you want to remove.
  3. Confirm Are you sure you want to remove this entitlement?.

Result

The entitlement is deleted. You cannot undo this from the dialog; if you remove one by mistake, add it again by hand, or check Audit History to see what it held.

Warning

Removing an entitlement that an order granted does not undo the order or its payment. It only removes the right from the customer's record. There is no reason field, so the record will not show why the entitlement was removed. If you need to keep that context, add a note somewhere else before you delete it.

If It Fails

  • "Unable to save entitlement." Make sure you entered both a type and a quantity, because both are required. If the message appears after you changed the type, contact, or organization, confirm that the record you are linking to still exists.
  • "Unable to load entitlement." The record may have been deleted since you opened the tab. Reload the tab and try again.
  • "Unable to delete entitlement." Reload the tab. The entitlement may already have been removed, or someone else may have removed it since the page loaded.
