Orders & Inventory reports use Rhythm’s shared Query Center, not a separate reporting tool. In the Query Center, you can report on orders, purchases, coupons, shipments, and other Orders & Inventory data.

This article shows you how to open the Orders & Inventory Query Center and explains one detail specific to Orders & Inventory: when you run the Purchases query for one merchandise item, the report adds a column for each option on that item.

The Query Center works the same way across Rhythm applications. For help designing a query, choosing fields, filtering, running, saving, or scheduling, see Design and Run a Query. This article covers only the details that are specific to Orders & Inventory query types.

Prerequisites

  • Permission to access queries in Orders & Inventory.
  • Permission to run the Purchases query type, if you want to run a merchandise item’s Purchases report.

Open the Orders & Inventory Query Center

  1. Go to Orders & Inventory › Queries.
  2. Choose one of the Orders & Inventory query types to start a new query, or open a saved query.

Result

The Orders & Inventory Query Center opens with the Orders & Inventory query types available. From there, you can build, run, save, or schedule a query as described in Design and Run a Query.

Report on One Item's Purchases, Broken Out by Its Options

The Purchases query type reports on order lines. If you leave the query unfiltered, it returns every purchase. When you choose one merchandise item, the query returns only purchases for that item and adds one extra column for each variant and modifier option defined on it, such as sizes, colors, personalizations, or other options the item uses. After you filter by the item, both the item’s own variant options and its modifier-option responses are available as columns.

  1. Open the Purchases query type in the Orders & Inventory Query Center.
  2. Under Merchandise, choose the item you want to report on. The field's help text reads: "If you run this query for a specific merchandise, you can access its variants/modifiers. If you do not select a merchandise, all purchases will be returned."
  3. Add, filter, or group by the option columns that appear for that item, along with the query’s regular fields.
  4. Add the SKU field to the output alongside the option columns to confirm exactly which variant was purchased on each row.
  5. Run, save, or schedule the query as usual.

Result

The report includes only purchases of the item you chose. It also includes one extra column for each of the item’s own variant options and one for each shared organization-wide option. If a purchase did not use a particular option, that purchase still appears and the option’s column is empty. You can also add the order line's processing-fee amount as a field here, which is useful for reconciling fees collected on that item's purchases.

Tip

Leave Merchandise empty when you want the standard Purchases report across every product, without extra option columns. Use this choice for a purchases report that is not focused on one specific item’s options.

Tip

Other Orders & Inventory query types behave the same way for variant and modifier details. A broad query across every product usually will not include variant values such as size, but running the same query type for one specific product can include them after you add that product's variant or modifier field in the field browser.

If you use modifier options to capture custom checkout information, such as fulfillment details, confirm that you can report on that data this way before you rely on it. Modifier values only become available as extra columns when you run the Purchases query for one specific merchandise item. The standard Purchases report across all products does not include a general field for values entered through modifiers.

Why an Item-Specific Report Might Not Show the Columns You Expect

  • You didn't choose an item. When you do not select a merchandise item, the Purchases query returns every purchase as usual and does not add option columns.
  • The item couldn't be found. If Rhythm does not recognize the chosen item while preparing the query, it runs the standard Purchases report instead. You see no option columns and no message explaining why.
  • One of the item's options is a type the report doesn't recognize. If an item has an option that is not a plain variant or shared option, Rhythm cannot prepare the report. You get no query results, rather than a report that is missing only that option’s column.
  • A shared (organization-wide) option record no longer exists. If a shared option used by the item has been deleted, Rhythm leaves that option out of the report entirely. You see no column for it and no explanation.
  • The filter is on the wrong field. A variant-related query can return no rows even when the rest of the criteria are correct, if the filter uses a similarly named field on the wrong record, such as a batch's name instead of the product's name. Check that a product-level filter actually references the product field.

Tip

Renaming a shared option changes that column’s name everywhere the option is used, including every merchandise item’s purchases report that uses it. You do not need to update the report itself.

Limitations

  • Sponsor & Benefits purchases cannot be isolated. An Orders & Inventory product or purchase query cannot currently be filtered to show only products purchased through the Sponsor & Benefits application.
  • The abandoned cart value shown in the console is not a queryable field. You cannot build a query around that KPI; it is available only where the console already displays it.
  • Unit cost from a product's inventory transactions is not an output field. Fields you see on the Transaction tab of Product Inventory 360, including the unit cost tied to a purchase order, are not available as output fields in Product Inventories or other merchandise-related queries.
  • Installment fields can return no rows even when the order has an installment schedule. Adding or filtering on fields such as Installment Schedule ID, Amount Billed, or Amount Outstanding in an Order > Orders query has been observed to return no results for an order that does have an installment schedule. If this happens, try the query without the installment fields to confirm the order itself is being found.

Tip

To find orders from a billing run that did not complete, build an Orders query, filter Order Billing Run to is not blank or to a specific billing run, and add Order Status does not equal Completed. Save and schedule the query so you keep seeing unsuccessful auto-renewal orders as new billing runs happen.
