Stock counts do not always match what is on the shelf, and stock sometimes needs to move. Use Adjust Inventory to correct a count up or down, and use Transfer Inventory to move stock from one warehouse or bin to another.
When to Use This
Use an adjustment when a physical count, damage, or loss means the recorded count is wrong, and no order or purchase is involved. Use a transfer when the stock itself is moving, such as from a central warehouse to a store room, or from one bin to another after a reorganization. If stock is arriving from a supplier, see Order and Receive Stock instead.
An adjustment changes how much inventory you believe exists at a location, so Rhythm updates On Hand and Available by the same amount.
Prerequisites
- You need permission to adjust stock to use Adjust Inventory, and permission to transfer stock to use Transfer Inventory. If a button is unavailable, ask your Commerce administrator.
- The item you are correcting or moving must have inventory tracking turned on. If you choose an item that does not track inventory, Rhythm shows a warning and stops you from continuing.
Adjust a Stock Count
- Go to Orders & Inventory › Inventory.
- To adjust any item's stock, select Adjust Inventory. To adjust an item you already have open, select its record from the Product column to open its Product Inventory 360 page, then open Product Inventory Options and select Adjust.
- If you started from the overview, search for the item under Search for Merchandise. Then choose the stock record to correct under Destination of Goods, or choose A new destination and pick a warehouse, plus a bin and SKU if the item uses them. If you started from the item's own page, Rhythm fills in the destination for you. If the warehouse you choose has bins turned off, you do not need to choose one.
- Enter the change in the Adjustment field. Use a positive number to add stock, or a negative number to remove it.
- If you want to include the reason, add it in Notes.
- Select Process Adjustment.
Result
Rhythm shows "Adjustment processed successfully." and returns you to the overview or the item's 360 page with updated counts.
Transfer Stock Between Warehouses or Bins
- Go to Orders & Inventory › Inventory.
- To move stock for any item, select Transfer Inventory from the overview. To start from one item's page, open its Product Inventory 360 page and, in Product Inventory Options, select Transfer.
- If you started from the overview, search for the item under Search for Merchandise. However you opened the dialog, choose the stock record the units are leaving under Source.
- Choose where the stock is going under Destination Warehouse. If that warehouse uses bins, also choose a Destination bin.
- Enter the number of units to move in Quantity, and add Notes if you'd like.
- Select Process Transfer.
Result
Rhythm moves the stock and returns you to the overview or the item's 360 page with updated counts at both locations.
Tip
After a successful transfer, the confirmation message currently reads "Purchase order processed successfully." even though you completed a transfer. Only the message wording is wrong; your transfer was recorded correctly.
Warning
Opening Transfer from an item's 360 page does not pre-select that record as the source. You still need to choose it under Source.
Limits and What Can Stop a Save
- A transfer cannot take more than the source has available. If you try to move more than the source currently has available, Rhythm refuses the transfer and tells you how much is available.
- A transfer cannot go to the same warehouse and bin it came from. Rhythm refuses the transfer when the destination and source are identical.
- Adjustments have no floor. Rhythm does not stop an adjustment from taking on-hand or available stock below zero.
- Adjustments do not fill backorders. Stock you add with an adjustment becomes available. Receiving stock against a purchase order works differently because it fills waiting backorders first. See Order and Receive Stock.
- A destination without a stock record is created for you, starting at zero, before Rhythm applies the adjustment or transfer.
- A warehouse that does not use bins may not accept a transfer. If your destination warehouse does not have bins turned on, you may not be able to submit the transfer because Rhythm still expects a bin to be chosen behind the scenes. If this happens, choose a destination warehouse that has bins enabled, or contact Rhythm support.
- Check that the destination bin you pick belongs to the destination warehouse you chose. The bin list can include bins from every warehouse, not only the warehouse you selected.
- An adjustment changes On Hand and Available only. It does not change a quantity that is already committed to an order. If stock still looks wrong after an adjustment because units remain tied up in open orders, that committed quantity has to clear through the order itself, such as by shipping or cancelling it, not through another adjustment.
- Adding inventory cannot use a different G/L account from your other inventory postings. There is no setting that changes the accounting for an addition alone while leaving the rest of your inventory accounting unchanged.
- An inventory record that already has transactions against it cannot be deleted, even if you created it by mistake, such as for the wrong item or bin. It stays on your inventory list as an inactive record instead.
- An unexpected error mentioning bins can appear while receiving inventory, even when the item's warehouse does not use bins. If this happens and the resulting on-hand quantity does not look right afterward, correct the count with an inventory adjustment.
- If a merchandise item was added to inventory at the wrong unit cost, adjust its quantity down to zero, then add the inventory back in at the correct cost.
- Bringing stock onto your books through an adjustment or an import, instead of receiving it against a purchase order, can cause a shipment to fail later with an error about missing receipt units, because that stock has no receipt behind it. If a shipment fails this way for an item you know was adjusted or imported in, receive it properly against a purchase order instead.
